The role of Events Planner II at the College of Law Knowles Conference Center is an exciting full-time position that plays a vital part in advancing the department's mission and enhancing the event experience within the legal academic community. Reporting to the Associate Director of the Conference Center, the Events Planner provides specialized support in planning, organizing, and promoting internal events for the College of Law's departments, centers, students, faculty, and staff. This position operates primarily during the workweek from Tuesday through Saturday, 8:30 a.m. to 5:15 p.m., with occasional flexible hours to accommodate evening and weekend events as required.

The Events Planner II is entrusted with coordinating event logistics that range from small meetings to large, complex events, ensuring seamless execution and high participant satisfaction. Responsibilities include interaction and collaboration with diverse stakeholders such as faculty, students, event attendees, catering, vendors, and facilities personnel. The planner provides expert consultation on event management, including arranging catering, space reservations, technology support, and promotional materials. The role demands physical stamina, requiring the candidate to stand, walk, bend for extended periods, and occasionally lift up to 50 pounds to overlook space setup and breakdown activities. Effective use of event registration and management software, such as 25Live and EMS, and familiarity with AV systems troubleshooting are essential to ensuring events meet standards and run smoothly.

Job Requirements

Job Qualifications

Job Duties

  • Interact consistently with faculty, staff, students, guests, event attendees, facilities staff, vendors, and catering staff
  • Advise and counsel marketing management, event management, students, and event attendees
  • Support event planning, coordination, and preparation including space reservations, catering orders, registration process, and promotional material distribution
  • Assist with developing event programs and agendas
  • Perform event setup and breakdown including resetting event spaces and handling last-minute changes
  • Ensure adherence to planned formats, compliance with regulations, and overall satisfaction of participants and sponsors
  • Conduct pre-event walk-throughs and post-event follow-ups to assess service adequacy
  • Provide final event day checks to ensure standards are met
  • Oversee event happenings and resolve problems quickly
  • Process invoicing and payment
  • Manage various event budgets
  • Provide tours for potential clients
  • Provide regular updates to Conference Center staff
  • Coordinate logistics for internal events for student organizations and educational centers
  • Coordinate administrative support and event management services
  • Troubleshoot AV systems when AV Engineer is unavailable
