The Savannah Convention Center is currently seeking a full-time Event Services Coordinator to join its dynamic team. This entry-level position is pivotal in supporting the planning and execution of events, primarily managing small to mid-sized meetings. The role focuses extensively on logistical support, client communication, and coordination of room setups to maintain SCC's high standards of service delivery. Reporting directly to the Director of Events, the Event Services Coordinator acts as an essential liaison between clients, vendors, and internal departments such as audio-visual, setup, engineering, and security teams. This ensures seamless operational readiness and customer satisfaction for every event. Job Requirements

Job Duties
- Perform administrative tasks for the Event Services Department including preparing reports drafting correspondence maintaining records and documenting departmental meeting notes and action items
- Maintain and update internal tracking reports and systems
- Coordinate fire marshal floor plan approvals
- Enter event data into Momentus
- Monitor timelines and deadlines
- Communicate event requirements to internal departments including AV set-up engineering security and other service departments to ensure operational readiness and consistent service delivery
- Manage daily event sheets assist with payment processing and prepare client-facing and promotional materials
- Assist with planning and executing assigned events from pre-planning through completion according to Savannah Convention Center service standards
- Coordinate logistical requirements serving as a liaison between clients vendors and internal departments to ensure effective communication and seamless event delivery
- Support clients in staffing room setups and equipment needs while providing guidance on facility capabilities and best practices
- Monitor event spaces to ensure setups match approved diagrams with signage and event amenities properly placed and maintained
- Educate clients on facility policies including fire and life safety regulations ADA requirements and insurance guidelines
- Prepare and distribute Event Resumes diagrams estimates invoices and operational instructions communicating updates to internal teams
- Maintain accurate event records track changes and expenses and assist with billing reconciliation
- Provide professional client-focused customer service to clients exhibitors guests and internal partners
- Attend and participate in operational and event planning meetings
- Serve as the onsite contact for assigned events addressing real-time requests and coordinating operational adjustments
- Serve as Manager on Duty for selected events supporting operations and resolving service or logistical concerns
- Perform other duties as assigned to support departmental and organizational goals
