The Hinman Dental Society is currently seeking a diligent, proactive, and detail-oriented Meeting Coordinator to join their team on a part-time basis. This role is perfectly suited for an individual with strong event management experience who can independently manage multiple priorities and projects with minimal supervision. The Meeting Coordinator will collaborate closely with both the internal team and volunteer leaders to successfully deliver high-quality experiences, events, and services to members. This position demands a highly organized professional who excels in multitasking and adapting to fluctuating schedules and priorities.
Key responsibilities involve managing the logistic and administrative aspects of the Society's events, particularly the flagship Hinman Dental Meeting. The ideal candidate will be involved in coordinating meeting speakers, managing databases related to course information and registrations, arranging travel and accommodations for staff and speakers, and overseeing numerous committee activities both before and during the event. Moreover, the Meeting Coordinator will support general office duties, such as answering calls, managing office inventory, and scheduling routine maintenance services.
The role offers a competitive hourly wage of $40 and operates on a hybrid work schedule with three days in the office and two days remote each week. The weekly working hours vary depending on the time of year, ranging from 15 to 25 hours per week, with core work hours typically set from 10:00 am to 2:30 pm, Monday through Friday. Occasional evening events require the candidate to be flexible with their availability throughout the year.

Job Qualifications

Job Duties
- Answer and redirect calls
- manage office schedules for recycling, pest control, water delivery, etc.
- manage office supply inventory
- manage the annual membership dues process
- manage the new membership nomination and application process
- assist Member Services Manager role with any additional society duties
- coordinate travel for Hinman Program Teams attending other dental meetings
- contract meeting speakers
- maintain speaker database including forms, course information, RSVPs, registration, travel details, and honorarium
- coordinate housing and review final invoices for staff, speakers, and other VIPs
- manage multiple committees before and during the Hinman Meeting
- attend Hinman Meeting and assist with onsite events
