Job Duties
- Serve as primary point of contact within the Welcome Center, create warm and professional hospitality experience for prospects and families, manage incoming calls walk-ins and scheduling support, maintain sales and marketing materials making sure they are current and presentation-ready, prepare and restore Welcome Center for events ensuring impeccable condition, support sales team logistics ensuring welcoming and organized environment, plan schedule and coordinate on-site and off-site marketing and sales events, maintain and update master marketing and events calendars, coordinate with external agencies on invitations and event logistics, track RSVPs materials setup breakdown and post-event follow-up, maintain accurate and up-to-date records in CRM Aline, support sales and marketing workflows with disciplined data entry and system management, prepare reports related to inquiries sales activity events reservations inventory and other metrics, ensure clean data organized records and reliable reporting, process invoices and track expenses against budgets, coordinate with agencies for timely invoicing and reconciliation, flag budget variances and support financial reporting, support execution of Master Communications Plan, liaise with advertising agency coordinating timelines approvals and marketing materials delivery, assist with marketing communications including emails invitations newsletters and digital content, support brand consistency through content proofing copyediting and version control, assist with social media and digital content coordination, support buyer retention through communication events and engagement during presales period, serve as liaison between sales team and depositors addressing engagement or retention needs, assist in managing depositor referral initiatives and tracking, ensure continuity responsiveness and connection for depositors throughout sales and construction timeline, coordinate presales selections and option upgrades prior to construction completion, track reservations cancellations option selections and upgrades with accuracy, maintain inventory reservation status and reporting in CRM, coordinate documentation timelines and communication related to buyer selections, support depositors and sales team throughout construction ensuring clarity organization and engagement
