The Special Events Manager role at Palm Beach Opera offers an exciting opportunity for a detail-oriented and highly skilled professional to lead the planning and execution of elegant, mission-driven events. This full-time position comes with a competitive salary range of $70,000 to $75,000 per year and focuses on deepening relationships that drive philanthropic engagement. The ideal candidate will possess a unique blend of strong creative instincts and technical precision, thriving in a fast-paced environment where project management excellence is essential.
In this role, the Special Events Manager will be responsible for producing donor-centric events that align with fundraising goals and enhance patron engagement while reflecting the sophistication and values of Palm Beach Opera. These events will include receptions, opening night dinners, a Lunch & Learn series, Board of Directors trips, and the prestigious annual Gala at The Breakers, which attracts approximately 400 guests. The manager will collaborate extensively across departments, including development, marketing, and artistic teams, to ensure seamless coordination and compelling event materials.
A core aspect of the position involves meticulous management of event logistics such as venues, catering, audiovisual and design elements, along with negotiating favorable vendor agreements. Attention to detail is paramount, from creating accurate budgets and timelines to overseeing guest lists, RSVPs, seating arrangements, and personalized interactions with donors and sponsors. Utilizing advanced skills in Microsoft Excel and CRM systems like Tessitura or similar platforms, the manager will analyze data to inform strategies, improve donor outreach, and optimize event outcomes.
The Special Events Manager will also maintain data integrity within CRM and company records, track attendance, giving, and engagement, and lead post-event reporting designed to translate findings into actionable insights for continuous improvement. Representing Palm Beach Opera’s mission and values with warmth, professionalism, and enthusiasm, the role demands excellent communication skills and a high level of discretion when handling sensitive donor information.

Job Requirements
- Bachelor's degree or equivalent experience
- 3+ years of relevant event planning or fundraising experience
- Advanced skills in Microsoft Excel
- Experience with CRM systems such as Tessitura
- Strong organizational and multitasking ability
- Excellent communication and interpersonal skills
- Ability to work evenings and weekends
- Professional discretion with confidential information
Job Qualifications
- 3+ years of experience in event planning fundraising or similar role preferably in nonprofit or arts environment
- Advanced proficiency in Microsoft Excel including complex spreadsheets budgets and data tracking
- Experience working in CRM databases such as Tessitura or similar with strong understanding of data integrity and reporting
- Exceptional organizational skills and attention to detail managing multiple projects simultaneously
- Strong communication skills and collaborative spirit ability to work independently and cross-functionally
- Proactive solutions-oriented mindset with ability to troubleshoot under pressure
- Experience creating polished visually appealing materials familiarity with Canva or similar tools preferred
- High level of professionalism and discretion with donor information
- Flexibility to work evenings and weekends as needed
Job Duties
- Plan and execute all special events including receptions opening night dinners Lunch & Learn series Board of Directors trips and an annual Gala
- Build and manage detailed event budgets timelines and run-of-show documents
- Generate reports and analyze data from CRM platforms to inform event strategy donor outreach and fundraising outcomes
- Coordinate event venues catering audiovisual and design elements negotiate vendor terms and maintain relationships
- Oversee guest experience including managing guest lists RSVPs seating and high-touch donor and sponsor interactions
- Collaborate with development marketing and artistic teams on event materials and communications
- Maintain and update patron and event records within CRM systems ensuring data integrity
- Lead post-event reporting and evaluation translating data into clear insights for improvements
- Serve as an enthusiastic ambassador for Palm Beach Opera at all events
