The Meeting Coordinator position at AMI offers an exciting opportunity for a detail-oriented professional to provide crucial support to the AMI Meeting Managers. This role involves working closely with Meeting Planners throughout the entire lifecycle of each meeting, from initial planning stages through post-event closeout. The primary responsibility is to manage and maintain registration websites, create printed materials, handle bin management, manage expenses, support exhibitor and sponsorship sales, and provide general client services as required. The ideal candidate will have at least one year of experience building and maintaining websites, demonstrating strong technical skills alongside excellent organizational abilities.
In this role, the Meeting Coordinator will manage all aspects of attendee registrations, including handling invites, responding to questions, and managing customer service calls. They will be responsible for ensuring 100% accuracy in data entry related to internal and client expense systems, managing fax communications, and prepping meeting bins with necessary supplies. The Coordinator will also oversee the creation and printing of meeting collateral and support the planners with administrative tasks and virtual meeting card processing.
This position requires exceptional interpersonal skills, a strong attention to detail, and the ability to multitask effectively in a fast-paced environment. The Meeting Coordinator may also be required to provide on-site support and travel when necessary. Additionally, the Coordinator is encouraged to suggest improvements to company systems and processes to increase efficiency and enhance client service. This role is vital to ensuring the operational success of meetings and events, making it a key part of the AMI team.
