Job Requirements
- Bachelor's degree preferred
- Minimum of 2 years experience in event planning or coordination
- Proficiency in event management and scheduling software
- Excellent verbal and written communication skills
- Ability to engage and consult with diverse clients
- Strong organizational and multitasking capabilities
- Availability to work weekends and evenings
- Ability to perform occasional heavy lifting
- Strong customer service orientation
- Ability to adapt to changing priorities

Job Qualifications
- Bachelor's degree in hospitality management, event planning, or related field preferred
- Experience in event planning or coordination preferably in a conference or hospitality setting
- Strong organizational skills and attention to detail
- Excellent communication and interpersonal skills
- Ability to work independently and as part of a team
- Proficiency with scheduling and event management software
- Knowledge of customer service principles
- Ability to manage multiple priorities and work under pressure
- Flexibility to work evenings and weekends as required
- Demonstrated problem-solving and conflict resolution abilities
Job Duties
- Serve as the primary point of contact for client inquiries regarding University Center spaces, services, and availability
- Conduct guided facility tours for prospective clients
- Consult with clients to understand event objectives and identify logistical needs and service requirements
- Assist clients in selecting appropriate spaces and services and provide cost estimates
- Communicate policies, guidelines, deadlines, and pricing to clients
- Create, manage, and update event reservations and documentation
- Develop setup diagrams, timelines, and supporting documentation
- Coordinate event services and logistics with campus partners including catering, AV/ITS, custodial, and facilities
- Verify room setups and assist with physical setups including occasional heavy lifting
- Serve as onsite support to manage daily events and provide customer service
- Troubleshoot issues promptly and professionally during events
- Provide onsite event support during frequent weekend and evening hours
- Support billing processes by reviewing event details, confirming services, and invoicing
- Build and maintain positive relationships with recurring clients
- Participate in departmental meetings, walkthroughs, and training sessions
- Assist with overall management of University Center operations and oversee setup crews when manager on duty
- Attend professional development programs and represent the University Center in hospitality-related functions
- Serve on university committees and assist with additional departmental projects as assigned
