The role of Meeting & Events Coordinator at CBRE is an essential position within the Workplace Experience team, tasked with the coordination and management of small to medium-sized meetings, conferences, and events. This role is pivotal in delivering world-class customer service to clients and visitors in a specified building, ensuring a seamless and hospitable experience throughout each event. As the primary point of contact for smaller meetings, the Coordinator will also provide support for larger, more complex events as necessary, working closely with clients, vendors, and team members to oversee critical components such as guest arrival experience, transportation, signage, displays, special needs accommodations, printing, and event security.

The Coordinator's responsibilities include creating an inviting environment on the day of the event by managing conference room turnovers, midday refreshes, indoor and outdoor room configurations, and event supply logistics. They will respond promptly to event needs, such as equipment setup, food and beverage coordination, and facility security, ensuring all technical and visual elements function flawlessly. This involves troubleshooting audio and other technical issues, maintaining a small inventory of event supplies, and managing a centralized calendar of scheduled events to facilitate clear communication among team members and service providers.

Attention to detail, organizational skills, and the ability to follow established procedures are crucial for this role. The Coordinator must be physically capable of performing tasks that include stooping, standing, walking, climbing stairs, and lifting or carrying loads of up to 50 pounds. This position offers a minimum annual salary of $64,000 up to $66,560, with hourly rates ranging from $30.77 to $32.00, depending on qualifications and experience. Job Requirements

  • Up to 2 years of job-related experience

  • Working knowledge of Microsoft Office products

Job Duties

  • Serve as the primary point of contact for smaller meetings and events
  • Support larger and complex meetings and events as needed
  • Coordinate guest services including arrival experience, transportation, signage, displays, special needs, printing, and event security
  • Create a hospitable environment for attendees, event owners, and vendors on event days
  • Manage conference room turnovers and midday room refreshes
  • Reconfigure rooms for indoor and outdoor spaces
  • Respond to event activities such as gathering event supplies, equipment needs, food and beverage services, and facility security
  • Conduct room setup, refresh, and removal of food, beverage, and service items
  • Maintain outlines of small space configurations and event-related items
  • Complete room checks and troubleshoot audio and technical issues
  • Manage a small inventory of event supplies
  • Coordinate master event calendar for small to medium-sized event spaces
  • Communicate event schedules with team and service providers
  • Assist with post-event reporting and reconciliation
  • Escalate issues and concerns as appropriate
  • Follow existing procedures to solve straightforward problems under supervision
