This job opportunity is with a dynamic and fast-paced organization seeking a skilled Administrative Assistant to support multiple departments within the company. As an Administrative Assistant, you will be the linchpin in the smooth operation of various departments by managing calendars, arranging meetings and conference calls, and coordinating events. You will use your expert judgment to organize time effectively and anticipate the needs of your supervisors. Additionally, you will be responsible for handling travel arrangements, including booking transportation and lodging, and providing travel support for itinerary changes or shipping requirements on short notice. Managing correspondence, proofreading documents, and handling invoices and purchase orders will also be essential duties of the role. You will play a vital part in tracking project statuses, managing expense reports, and contributing to the preparation and distribution of vendor contracts.
This role requires advanced proficiency in Microsoft Office applications such as Outlook, Word, Excel, and PowerPoint, alongside familiarity with payroll, HR systems, and SharePoint. Candidates must demonstrate excellent organizational skills, the ability to reprioritize tasks on the fly, and a proactive approach to problem-solving. Confidentiality and the ability to manage upwards effectively are critical components of this role. Physical requirements include the ability to work in a standard office environment, performing tasks that involve sitting for extended periods, typing, and occasional lifting or moving of light supplies. Job Requirements
- Minimum of 2-3 years administrative assistant experience
- Preferably supporting more than one person
- Ability to build long-standing professional relationships
- Advanced skills with Microsoft Office applications
- Working knowledge of payroll, HR systems, and SharePoint

Job Qualifications
- Minimum of 2-3 years administrative assistant experience

Job Duties
- Manage calendars and proactively organize time as required using expert judgment and discretion
- Arrange ongoing/recurring as well as ad hoc meetings and conference calls
- Schedule conference rooms and set up audio visual or online meeting tools
- Order meals and coordinate overall event logistics
- Coordinate and ensure meeting logistics are in place
- Create systems to manage priority issues and deadlines through email and other support practices
- Manage travel arrangements including booking and itinerary changes
- Compose, proofread, edit, and format correspondence, agendas, and documents
- Manage and process invoices and purchase orders
- Support monthly team budget reconciliation
- Assist with special projects and track progress
- Assist with creation and distribution of vendor contracts
- Prepare and manage expense reports
