This role, the Event Coordinator for the Office of University Relations, is a key professional position reporting directly to the Manager of University & Presidential Events. The Event Coordinator will be responsible for coordinating multiple university-wide and executive-level events in partnership with top university offices such as the Office of the President, the Office of the Provost, and the Office of the Vice President for Research. This role is integral to advancing strategic engagement goals through well-researched, thoughtfully designed, and expertly delivered events.
The successful candidate will work collaboratively across the campus to plan and execute events from initial concept through to successful on-site management and post-event evaluation. They will ensure that all events provide strong, impactful experiences for attendees, operate cost-effectively, and meet all logistical and operational goals. This position requires an individual skilled in event research and benchmarking, capable of proposing innovative new campus events while refining existing programs to enhance their relevance and effectiveness.
The Event Coordinator will build and maintain essential partnerships with various campus units and external vendors, managing all vendor-related activities and ensuring necessary documentation is completed timely and accurately. They will have significant responsibility in developing and managing event budgets to ensure resources are allocated and tracked efficiently. An essential part of the role involves drafting and distributing briefing memos and materials for executive leadership to ensure they are well-prepared and informed for each event.
Managing event registration systems and handling communication with attendees will also be part of the job. Additionally, the coordinator will develop event collateral and supporting materials, demonstrating creativity and attention to detail. On-site event management and day-of coordination are crucial to guarantee flawless event execution, requiring problem-solving skills and leadership during live events.
The position demands a thorough close-out process for each event, including financial reconciliation, operational documentation, and facilitating continuous improvement reviews post-event. This ensures that feedback is captured and lessons learned are integrated into future events. The role also entails representation on university workgroups and teams, contributing expertise to broader University Relations endeavors.
Supporting large-scale signature events, such as football gameday operations, basketball and baseball games, along with university commencement exercises, is essential, showcasing the need for versatility and commitment. The role may also assign and coordinate duties for undergraduate and graduate student interns, providing guidance and support for their development.

- Bachelor's degree or equivalent combination of education and experience
- two years of relevant experience in event coordination or management
- strong organizational and multitasking skills
- excellent communication and interpersonal abilities
- proficiency in event management software and registration systems
- ability to work collaboratively with multiple stakeholders

- flexible availability for event days which may include evenings and weekends
- successful completion of a criminal background check
Job Qualifications
- Bachelor's degree and two years experience or a combination of post high school education and experience equal to six years
