The role of Scheduling and Event Services Coordinator at Utah Valley University is a pivotal position responsible for managing and coordinating a diverse range of events throughout the campus. This role entails overseeing the entire event process from initial concept through to completion, working collaboratively with campus departments, community organizations, and external clients to ensure seamless execution. The coordinator will administer and manage a centralized event management system, handling scheduling, logistics, resource allocation, invoicing, and documentation. This position plays a crucial part in maintaining the smooth operation of campus events, providing exceptional customer service, and contributing to the positive campus experience for students, faculty, and visitors alike.
The Scheduling and Event Services Coordinator will manage the scheduling software, ensuring all updates to spaces, resources, pricing, and procedures are meticulously handled. They will also maintain event layouts through the Social Tables platform, ensuring compliance with safety standards and capacity guidelines. A significant part of the job involves efficiently processing a high volume of scheduling requests, coordinating operational plans like Premise Agreements, staffing, technology services, event setups, and risk management events.
Communication is a key component of this role, requiring the coordinator to serve as the primary contact for clients, facilitate engagement between clients and service providers such as audiovisual teams, and manage all contractual and billing processes. The role demands strong organizational skills, attention to detail, and the ability to juggle complex scheduling and event logistics in a fast-paced academic environment. The successful candidate will bring expertise in event management software, superior customer service skills, and the ability to collaborate across multiple departments and external organizations, ensuring that each event is successful and aligns with university policies and standards.

Job Requirements
- Graduation from an accredited institution with a bachelor's degree in a related field or equivalent combination of education and experience
- Experience with event scheduling and coordination
- Proficiency with event management and room layout software
- Strong organizational and communication skills
- Ability to manage multiple tasks and meet deadlines
- Customer service experience
- Ability to work flexible hours as needed
Job Qualifications
- Bachelor's degree or combination of education and experience totaling four years
- Knowledge of 25Live or equivalent space scheduling program
- Knowledge of Social Tables or equivalent room layout software
- Experience in event coordination and management
- Proficiency in Microsoft Office
- Excellent organizational, communication, and customer service skills
- Ability to plan and manage large-scale, complex events
- Ability to work collaboratively in a team environment
Job Duties
- Manage centralized scheduling software including space updates, resource inventory, pricing, and procedures
- Maintain Social Tables event layouts ensuring compliance with safety and capacity requirements
- Handle a high volume of campus scheduling requests coordinating operational planning including Premise Agreements, staffing, technology, and event setup
- Communicate effectively with event clients and serve as primary point of contact throughout planning process
- Manage contract, insurance, risk management documentation, invoicing, and client feedback
- Coordinate data distribution and event reports to responsible parties
- Schedule and facilitate coordination meetings with clients and university audiovisual teams
- Perform other job-related duties as assigned
