The Event Coordinator role is based at the Ken Garff University Club within Rice Eccles Stadium, part of the University of Utah's vibrant campus located in Salt Lake City, Utah. This full-time position plays a critical role in delivering exceptional event experiences by managing all operational aspects of events hosted at the facility. Reporting to senior management, the Event Coordinator acts as a vital liaison between promoters, show representatives, sports teams, and various internal departments to ensure seamless event execution. This involves the detailed planning, coordination, and supervision of event activities, from inception through completion.
The Coordinator's responsibilities include planning and maintaining security staffing for events, managing labor resources, and ensuring that all logistical elements conform to contractual agreements and venue standards. They oversee the collection and timely dissemination of vital event information to departments such as security, hospitality, maintenance, and other operational teams. Additionally, the role requires the preparation of detailed event data sheets and post-event reports, which help measure event success and inform continuous operational improvements.
This position demands excellent customer service skills as the Event Coordinator represents the Ken Garff University Club to guests and event clients, ensuring their needs are met meticulously. The role requires working closely with sports tenants to collect and interpret game-specific requirements and aligning the venue’s resources efficiently. Promoters’ and agents’ client needs must be addressed promptly with accurate cost estimates and effective communication.
The hourly pay range for this role is $19.00 to $23.00, reflecting the responsibilities and expertise required. Job Requirements
- high school diploma or GED required
- 1-2 years of experience in event coordination or related roles preferred
- ability to work flexible hours including nights, weekends, and holidays
- excellent communication skills
- proficiency in Microsoft Office
- strong organizational skills
- ability to manage multiple tasks under pressure
Job Qualifications
- 4-year degree from a college or university preferred
- high school diploma or GED required
- 1-2 years of experience in the same or similar position in arenas, convention centers, stadiums or theaters preferred
- ability to work flexible and sometimes demanding schedules including nights, weekends, holidays and extended hours
- experience with Microsoft Office products
- strong attention to detail
- strong interpersonal and communications skills
Job Duties
- Advance each show/event with appropriate show/promoter representative in a timely fashion
- communicates all event information to the appropriate departments and staff
- develop, implement and manage event security plans in conjunction with event security provider and appropriate show/promoter representatives
- ensures that event set-ups are accurate
- communicates in a timely manner with each department head regarding specific needs and information for each event
- prepares and distributes event data sheet to all staff and departments in a timely manner
- prepares post-event report for all events coordinated
- meet with facility sports tenants to collect and distribute game requirements and coordinate efforts to produce tenant events
- work with promoters and agents to coordinate facilitate client needs for each event and provide cost estimates as required/requested
- preparation of and submission of expenses for event settlement
- attend settlement if required
- executes other operational duties as assigned
