The University of Utah location, specifically the Ken Garff University Club within Rice Eccles Stadium, is currently seeking an experienced full-time Event Coordinator. This role is essential in managing and overseeing all event-related activities to ensure seamless operations of the facility. The Event Coordinator acts as a vital liaison between event promoters, sports teams, show representatives, and internal staff, coordinating logistics, security, labor management, and billing processes. This position offers an hourly rate ranging from $19.00 to $23.00 and is designed for individuals who are detail-oriented, highly organized, and skilled in communication.
As an Event Coordinator at the Ken Garff University Club, you will take full responsibility for advancing events in close cooperation with promoters and ensuring that all stakeholders are informed and prepared. The role demands the creation and supervision of security staffing plans in collaboration with security providers and event promoters to maintain safe and efficient event environments. Additionally, you will manage labor resources, monitor event setups for accuracy, and facilitate information flow across all relevant departments.
Customer service is central to your duties, requiring you to serve as a representative to all guests and clients, responding promptly to their needs and concerns. You will also prepare thorough event data sheets and post-event reports, which aid in reviewing overall event success and planning improvements. This position necessitates a proactive approach to problem-solving, excellent interpersonal skills, and flexible availability to accommodate events that may occur during evenings, weekends, holidays, and extended hours.

Job Requirements
- High school diploma or GED required
- 1-2 years of experience in event coordination or a similar role in arenas, convention centers, stadiums or theaters preferred
- Ability to work flexible and sometimes demanding schedules including nights, weekends, holidays and extended hours
- Proficient in Microsoft Office products
- Strong attention to detail
- Excellent communication and interpersonal skills
Job Qualifications
- 4-year degree from a college or university preferred
- High school diploma or GED required
- 1-2 years of experience in the same or similar position in arenas, convention centers, stadiums or theaters preferred
- Ability to work flexible and sometimes demanding schedules including nights, weekends, holidays and extended hours
- Experience with Microsoft Office products
- Strong attention to detail
- Strong interpersonal and communications skills
Job Duties
- Advance each show/event with appropriate show/promoter representative in a timely fashion
- Communicate all event information to the appropriate departments and staff
- Develop, implement and manage event security plans in conjunction with event security provider and appropriate show/promoter representatives
- Ensure that event set-ups are accurate
- Communicate in a timely manner with each department head regarding specific needs and information for each event
- Prepare and distribute event data sheet to all staff and departments in a timely manner
- Prepare post-event report for all events coordinated
