The successful candidate will lead coordination and execution of program logistics to ensure each event surpasses client expectations. Responsibilities include managing vendor relationships and securing quality services through preferred suppliers. The role also requires contract management expertise to protect the interests of both the company and its clients legally. Cost management is a key element of the position, involving identifying cost-saving opportunities, reviewing invoices meticulously, and collaborating with reconciliation specialists for billing accuracy.
Additional duties encompass handling clients’ payment requirements in line with specific program or account demands. The coordinator will manage the online registration process, support event owners in maintaining effective communication with attendees, and ensure the registration platform functions efficiently and captures all necessary data in a user-friendly manner. On the event day, close collaboration with venue personnel and vendor oversight is essential. The coordinator acts as a vital resource to event staff to facilitate smooth, seamless operations.
Post-event responsibilities include conducting detailed debrief sessions with clients, generating comprehensive briefing reports, and developing service recovery plans as necessary to address any issues, aiming to achieve continuous improvement goals. Knowledge and proficiency in technology and software solutions such as Cvent are essential for managing these processes efficiently.
