We are currently seeking a Freelance Event Specialist based in Miami, FL, to join our team and help manage the logistics of upcoming in-person events. This is a contract, per-event role ideally suited for someone who thrives in a fast-paced, startup environment and is passionate about social impact. The Freelance Event Specialist will be responsible for onsite coordination, ensuring seamless execution of social impact team-building activities and events that align with Visit.org's mission.

The right candidate will bring proven experience in managing a range of event types, from complex large-scale conferences to smaller, intimate executive gatherings. This role requires an individual with an entrepreneurial spirit and an ability to work independently while collaborating closely with corporate partners, nonprofit hosts, and Visit.org's event coordinators. The specialist will take ownership of event preparation, setup, onsite management, and breakdown while maintaining excellent communication with all stakeholders involved.

Key responsibilities include participating in virtual planning meetings, coordinating shipping and setup of event materials, managing guest check-in, solving onsite problems quickly, and representing Visit.org positively at all times. Exceptional customer service skills and the ability to thrive under pressure are essential to ensure every event delivers a high-quality experience to attendees. Flexibility to work nights and weekends as needed, along with a willingness to travel within the local region, are important aspects of this position.

Job Requirements

  • Fluency in English
  • Based in Miami, FL
  • Schedule flexibility for contract, per-event work
  • Experience in managing both large and smaller executive events
  • Ability to work flexible hours including nights and weekends
  • Willingness to travel locally
  • Strong interpersonal and customer service skills
  • Ability to lift and carry up to 30 lbs
  • Ability to stand for extended periods

Job Duties

  • Join virtual planning meetings and coordinate with corporate partner, nonprofit partner, Visit.org event host and coordinators
  • Take ownership and responsibility of in-person event setup, alignment with onsite teams, teardown and cleaning
  • Represent Visit.org on-site as leader and problem solver
  • Align roles and responsibilities with onsite team members
  • Manage event guest check-in with a warm and friendly approach
  • Resolve issues such as missing supplies, late staff, and technology challenges promptly
  • Provide consistent updates, photos, and videos to the Events Team throughout the event
