This role is a 3-month contract position, designed for an experienced program coordinator with a specialization in corporate event planning. The candidate will lead the coordination and execution of program logistics, ensuring every event meets or exceeds client expectations. Responsibilities include managing vendor relationships, utilizing preferred suppliers to secure quality services, and ensuring all contracts protect both the company and its clients legally. The role demands a strategic approach to cost management, including identifying cost-saving opportunities, reviewing invoices, and collaborating with reconciliation specialists to verify accurate billing.

Additionally, the position involves handling clients’ payment requirements aligned with the specific demands of each program or account. The coordinator will also be responsible for the online registration process, supporting event owners in maintaining effective communication with attendees, and ensuring the registration platform captures all necessary data in a user-friendly environment. Day-of-event logistics will require close collaboration with venue personnel, vendor performance oversight, and acting as a resource to event staff to facilitate smooth operations.

Post-event responsibilities include conducting detailed debrief sessions with clients, generating comprehensive briefing reports, and developing service recovery plans when necessary to address any issues encountered and to meet continuous improvement goals. A knowledge of technology and software solutions such as Cvent is essential for managing these processes efficiently. The ideal candidate will demonstrate flexibility in travel, accommodating up to 25 percent international and domestic trips as needed to support various event locations.

Job Duties

  • Lead coordinating and implementing program logistics to achieve impact
  • conduct research and coordinate relationships with vendors using preferred vendor lists to ensure high-quality vendor selection
  • ensure supplier contracts are legally protective of both company and client
  • lead program costs management, identify cost-saving strategies, review all invoices, and report them to a reconciliation specialist for accuracy
  • handle client payment requirements as defined per program or account
  • determine program needs for online registration and assist event owners with attendee communication to maintain a user-friendly registration platform
  • manage logistics with venue staff, coordinate vendor performance, and act as a resource for event staff during events
