The position available is for an Event Planning Coordinator, based remotely in the Hampton Roads area with a focus on supporting campaign events throughout Virginia. This role involves periodic travel for events and meetings and is a full-time position with a competitive hourly pay range between $21.90 and $28.10, depending on experience and geographic differentials. The Event Planning Coordinator plays an essential role in supporting the fundraising efforts by managing event logistics, data management, financial responsibilities, and providing support services to the development team and other colleagues. This role requires detailed coordination with vendors, volunteers, and supporters, ensuring smooth event execution from donor receptions to large events like Heart Walks and galas. Responsibilities extend to data management, including donation tracking, auction item documentation, and generating reports to facilitate strategic decision-making. Financial oversight involving the review of campaign revenue reports, payment processing, and event budgeting is also integral to the role. Job Requirements
- High school diploma or equivalent
- Minimum three years of experience in administrative or event management roles
- Experience with event planning and web conferencing tools
- Intermediate skills in Microsoft Office including PowerPoint Word and Excel
- Ability to multitask and work collaboratively

- Reliable transportation and physical ability to transport event materials
- Must pass background check
- Minimum age of 25 years
Job Qualifications
- Must have earned a high school diploma or equivalent
- At least three years of experience in administrative work project coordination or event management with strong attention to detail
- Experience in event planning and management preferred
- Proficient in web conferencing software such as Zoom and Microsoft Teams
- Demonstrated ability to work on multiple tasks concurrently
- Intermediate skills in PowerPoint Word and Excel
- Ability to objectively evaluate and make effective decisions
- Ability to work in a team and interact with all levels of staff volunteers and the public
- Must be respectful self-motivated resourceful considerate and thoughtful
- Willingness to work in a flexible and changing environment
- Knowledge of report preparation proofreading and attention to detail

Job Duties
- Coordinate logistical aspects of assigned events ensuring seamless execution from start to finish
- Proactively research secure and lead vendors for event services ensuring cost-effective solutions and compliance with Association guidelines
- Implement Association risk reduction procedures to ensure the safety and success of each event
- Recruit schedule and train volunteers to assist with projects and events to ensure a positive experience
- Attend events to be responsible for setup execution and teardown ensuring everything runs smoothly
- Act as a point of contact for vendors supporters sponsors volunteers and attendees providing exceptional service and support
- Prepare ADA-compliant digital event communications in coordination with marketing and communications professionals
- Handle event data including guest information auction items donations and revenue tracking
- Generate reports from various systems as needed
- Review financial reporting collaborating with fundraising teams to ensure accuracy
- Research discrepancies and input payment requests in the financial system
- Monitor and handle event budgets adhering to financial guidelines
- Adhere to Funds Handling and PCI Procedures
- Maintain open communication with directors and volunteers
- Respond to customer inquiries internally and externally
- Support Directors and Senior leaders through coordination and documentation including meetings
- Work independently and on special projects as required
