The Event Planner at Varsity Spirit is an integral member of the Regional Operations team, responsible for ensuring operational excellence across hosted events. This role demands a detailed, analytical, and process-driven professional who can effectively coordinate multiple moving parts to achieve event goals. The Event Planner will assist with staffing, travel arrangements, vendor communication, payroll processing, financial reporting, and logistical support, working closely with internal and external stakeholders. This position offers the opportunity to contribute directly to the success of high-profile events in a dynamic and collaborative environment, where passion and precision are key. Job Requirements
- bachelor's degree in business or related field or equivalent work experience
- minimum of 3 years experience in events preferred
- cheer or dance experience preferred
- ability to sit or stand for long periods
- ability to communicate via radio, walkie talkie, text message, and email
- ability to lift, bend, push, pull, and manipulate equipment up to 30 lbs
- ability to work in a professional office environment and at event sites
Job Qualifications
- knowledge of SalesForce, UKG, Workday, and Concur including report generation and data input
- strong fluency in Microsoft Excel, SharePoint, Adobe, and other Microsoft Office programs
- excellent verbal and written communication skills
- ability to work independently and as part of a team
- ability to multi-task and work efficiently
- strong organizational skills and attention to detail
- strong time management and ability to meet deadlines
Job Duties
- assist with recruiting and confirming staff for competitions
- assist with booking travel for event personnel for camps and competitions
- assist with booking housing needs for event personnel
- work closely with external suppliers and vendors
- assist with checking staff timecards in UKG
- assist with submitting payroll for staff, judges, and volunteer groups
- communicate with event personnel prior to planning staff assignments, housing, and travel
- communicate travel and event information to staff and judges prior to events
- assist with collaborating with the Event Coordinator and office staff
- assist or schedule box office staff and manage ticket systems
- assist with post-event financial preparations
- assist with budgeting and forecasting
- maintain relationships with groups to increase retention
- assist with organizing ground transportation
- evaluate staff intent to work each season and establish pay rates
- serve in a mid-level management or support role at events
