We are currently seeking a highly detail-oriented and proactive Event Planner to join our dynamic events team. This pivotal role involves meticulous planning and execution of a wide range of events including conferences, seminars, workshops, corporate gatherings, and HighLevel-sponsored events. The Event Planner will be responsible for overseeing all aspects of event logistics from start to finish, ensuring every detail aligns perfectly with our strategic objectives. This position requires a hands-on professional who can lead coordination efforts involving vendor and venue management, catering, audio-visual requirements, and transportation. The successful candidate will collaborate closely with various stakeholders to develop comprehensive event plans that include timelines, budgets, and task lists.

In addition to managing event logistics, the Event Planner will engage directly with attendees, bringing energy and enthusiasm to every event booth, fostering relationship-driven interactions that boost brand awareness and lead generation. The role demands someone versatile enough to handle event setup and dismantling, comfortable with physical aspects such as lifting and prolonged standing. The planner must also be adept at navigating virtual platforms for hybrid and remote events, reflecting the evolving nature of the events industry. The position involves travel commitments of approximately 20-30 percent, including some weekends for corporate events, and requires the flexibility to work from the Dallas office as event schedules vary.

The ideal candidate will have a background in event management, marketing, or a related field, with a minimum of 1-2 years of relevant experience. Proficiency in event management software and the Microsoft Office suite is essential, along with excellent organizational and project management skills that facilitate juggling multiple concurrent projects. Strong problem-solving abilities and a proactive, accountable mindset are critical for success in this role. Excellent communication skills, both written and verbal, are necessary to effectively collaborate with internal teams—marketing, communications, and operations—and to represent HighLevel professionally at in-person events.

Job Requirements

  • Must be available to work and attend in-person or virtual meetings during regular business hours Monday through Friday, 9:00 am to 5:00 pm CST
  • Work availability, hours, and days will change when attending events
  • Bachelor's degree in Event Management, Marketing, or related field preferred
  • At least 1-2 years of experience as an event planner or related field
  • Experience with virtual and hybrid event platforms
  • Proficiency in event management software and Microsoft Office Suite
  • Strong organizational and multitasking skills
  • Proven ability to work independently
  • Excellent verbal and written communication skills
  • Ability to lift and move event supplies and equipment as needed

Job Qualifications

  • Bachelor's degree in Event Management, Marketing, or related field preferred

Job Duties

  • Plan and execute diverse events independently including conferences, seminars, workshops, corporate events, and HighLevel sponsored events both on-site and remotely
  • Travel as required for events, including occasional weekend availability
  • Engage actively with attendees to represent the HighLevel brand at booths and create relationship-driven interactions
  • Collaborate with stakeholders to define event objectives and develop detailed plans including timelines and budgets
  • Manage all event logistics such as supply packing and shipping, coordinating catering, audio-visual needs, and transportation
  • Identify, negotiate with, and manage vendors, venues, and service providers
  • Assist with event setup and dismantling, including lifting up to 50 lbs and prolonged standing
  • Work collaboratively with internal teams including marketing, communications, and operations for seamless event execution
  • Conduct post-event evaluations, analyze data, and compile reports for continuous improvement
  • Maintain flexibility to work in the Dallas office as needed
  • Represent HighLevel professionally with a proactive and collaborative attitude at events
