Job Description

SFFILM, the San Francisco Film Society, is a preeminent nonprofit organization dedicated to the celebration and support of the art of cinema. Since its inception, SFFILM has been at the forefront of fostering filmmaker talents, hosting one of the most renowned film festivals in the United States, and presenting year-round screenings, educational programs, and special events. The organization's activities include the annual SFFILM Festival, Doc Stories, and substantial fundraising efforts such as the Awards Night gala. Operating in a hybrid-remote model, the organization supports staff flexibility while maintaining a strong community presence through frequent events across the San Francisco Bay Area. This particular position, the Special Events Manager, is a temporary full-time, salaried role providing $1355 per week from September 28 through December 11, 2026. It is crucial for the candidate to be Bay Area-based due to the frequent onsite requirements including primary event dates in November and December 2026. Some evening and weekend work will be necessary to accommodate the dynamic nature of event production.

The Special Events Manager will report to the Director of Operations and serve a pivotal role at the intersection of logistics, creativity, and stakeholder engagement. Leading the production and project management for all parties and receptions during SFFILM’s fall season, this role primarily supports Doc Stories, including managing a daily hospitality lounge, and also plays a significant role in executing the Awards Night gala, a flagship fundraising event. Collaborating closely with the Programming, Development, and Communications teams, the manager facilitates a seamless flow of communication and logistics, balancing event goals with sponsor fulfillment and audience experiences. Managing vendors, venue contracts, music, catering, permits, and staff or volunteer personnel are key responsibilities, requiring strong organizational and interpersonal skills. The position demands high energy, a cooperative and proactive approach, and meticulous attention to event accessibility and inclusivity. With an emphasis on live event production experience within nonprofit settings, the role offers targeted involvement in one of the nation's premier film festivals. Job Requirements

  • be based in the Bay Area

Job Qualifications

  • 2+ years experience managing events of varying size, budget, and scope
  • experience producing live events and handling high-touch constituent needs
  • experience liaising with diverse stakeholders and balancing urgent requirements
  • prior work experience in a nonprofit environment
  • experience managing event and production staff and collaborating with venue management
  • knowledge of food and beverage logistics and permitting
  • ability to create accessible events is a plus
  • experience with film festivals is beneficial
  • high energy, efficiency, and cooperative spirit
  • strong communication and proactive work ethic
  • ability to prioritize and perform multiple tasks under pressure
  • familiarity with Google Drive, FileMaker, Eventbrite, and Basecamp is helpful
  • local knowledge of Bay Area venues, artists, and performers is a plus

Job Duties

  • lead producing and project managing all SFFILM fall season parties and receptions, bringing events from conception to execution within budget
  • execute the Doc Stories Lounge daily hospitality, managing relationships with venue and vendors
  • support the execution of private meals including researching restaurants and menu planning
  • project manage cross-departmental workflows ensuring event look and feel align with priorities
  • provide timely clear event status updates and share runs of show
  • manage booking of venues, entertainment, catering, bar services, permits, contracts, and COIs
  • oversee special events budget, tracking and submitting all payments and expenses
  • support invitation process with Development and Communications including copy contributions and RSVP management
  • maintain venue and vendor relationships including rentals
  • contribute project management and staff supervision for SFFILM Awards Night
  • assist with planning and research for SFFILM Festival event venues and inventory organization
  • collaborate with Development on sponsor obligations and in-kind partnerships
  • work with Tech and Operations Manager on technical event production aspects
  • organize and execute event load-ins and load-outs with Director of Operations
  • prioritize accessibility and communicate accessibility info across departments and publics
  • prepare written wrap-reports summarizing timelines and event details
  • support other Operations team members and projects as needed
