The hiring company is a dynamic establishment specializing in hospitality and event management, dedicated to creating extraordinary and memorable experiences for their clients. Known for their exceptional service and attention to detail, this organization operates in a fast-paced environment, emphasizing creativity and excellence in every event they coordinate. Their team is made up of passionate professionals who collaborate to deliver seamless event execution, ranging from corporate gatherings and weddings to community-based functions. As a reputable player in the hospitality industry, the company prides itself on fostering strong relationships with clients and vendors alike, ensuring that every aspect of an event—from planning to completion—meets the highest standards of quality and guest satisfaction.
This Event Planner/Coordinator role is a pivotal position within the company, offering an exciting and paid opportunity for a dynamic and energetic individual to spearhead the planning, organization, and execution of diverse events. The successful candidate will be responsible for transforming client visions into reality by overseeing every detail, including menu selections, beverage packages, floor plans, audiovisual requirements, décor, staffing, and timelines. This role demands a strong passion for hospitality and superb organizational skills, as well as a proactive approach to problem-solving and client communication.
Working closely with kitchen and bar leadership, the Event Planner/Coordinator will ensure flawless execution and quality assurance on the day of the event. The role involves managing event inquiries across multiple channels, converting leads into booked events, conducting site tours, building customized proposals, and negotiating contracts within established pricing guidelines. It also requires on-site presence during events to supervise setup, the run-of-show, and breakdown.
A key aspect of the role includes developing and maintaining relationships with vendors such as florists, DJs, photographers, and rental companies, alongside executing outreach strategies aimed at attracting corporate clients, wedding planners, and community partners. The candidate will be responsible for tracking event key performance indicators, including lead-to-booking conversion rates and average event spend, reporting results on a weekly basis to ownership.
Additionally, the role supports marketing efforts through event photography, social media content creation, and promotional material development, reinforcing the brand’s commitment to excellence and client engagement. Proficiency in event management software like Tripleseat, Perfect Venue, or similar platforms is crucial for maintaining accurate records and efficient coordination.
The ideal candidate will bring strong negotiation skills to secure favorable terms with vendors, expertly promote events across multiple channels, and balance excellent customer service with detailed logistical planning. Exceptional time management and communication abilities are essential to succeed in this highly interactive position where multitasking and meeting tight deadlines are daily expectations.
This in-person position offers a flexible schedule, providing an excellent work-life balance while engaging in a role that is both challenging and rewarding. If you are passionate about hospitality and event planning, eager to contribute your creativity and coordination expertise, and driven to create joyful and connected experiences, this job is an ideal fit.
