This Conferences Planner role is an exciting and dynamic position within Gartner's events team focusing on the North American region. The position carries the responsibility for exhibit operations, service delivery, and sponsorship fulfillment for Gartner’s destination B2B conferences. Those selected for this role will manage and execute various aspects of conference exhibits and sponsorships, playing a key role in the success of multiple high-profile events. The Conferences Planner will lead the operational delivery of all exhibitor elements, including project management, floor plan design, staff planning, and production scheduling for a portfolio of conferences. The role also requires strong financial management skills to forecast, budget, and reconcile costs associated with exhibitor fulfillment.
Additional responsibilities include onsite leadership during conferences, managing agency partners, vendors, and conference staff to ensure smooth production schedules and exceptional client experience. The Planner will also use data-driven insights to optimize conference elements and revenue opportunities, maintain an online exhibitor portal for efficient logistical communication, and foster strong relationships with internal and external stakeholders. By standardizing operational processes and continually seeking ways to improve the efficiency and effectiveness of conference delivery, the Planner contributes to Gartner’s reputation for operational excellence.

Job Requirements
- Bachelor’s degree preferred
- 1-3+ years of relevant event management or experiential marketing experience
- Proven skills in project management and operational delivery
- Experience managing budgets and financial forecasting

Job Qualifications
- Bachelor’s degree preferred
- 1-3+ years of experience in event management, experiential marketing, event marketing, or tradeshow management
- Proven event operational skills including production scheduling, budget management and event staffing

Job Duties
- Lead operational delivery of exhibitor elements across multiple B2B conferences including project management, floor plan management, financial management (forecasting, budgeting and reconciliation), staff planning and production scheduling
- Develop, maintain and improve exhibit floor plans to maximize revenue opportunities and engagement
- Manage conference budgets with direct responsibility for all costs associated with exhibitor fulfillment and delivery
- Attend conferences as onsite lead for exhibit delivery including managing production schedules, agency partners, vendors and conference staff
- Develop and maintain exhibit inventory related to show floor, speaking sessions, and marketing opportunities
- Analyze data to determine best course of action on conference elements
- Manage and maintain an online portal with logistical information for exhibitors ensuring excellent client experience
- Anticipate and react to client requests with a service focus to drive exhibitor retention
- Liaise with key conference partners and internal and external team members to ensure successful conference execution
- Build and maintain strong relationships by establishing trust and partnership
- Achieve operational excellence and process efficiencies across conference delivery
- Standardize operational processes, project management and best practices for planning and onsite execution
- Develop innovative and creative approaches to team management, engagement strategy and operational execution
