The Director of Event Planning plays a pivotal role in our organization by managing the event planning department, overseeing all functions and staff on a daily basis. This full-time, exempt position works onsite and reports directly to the Director of Sales. The Director of Event Planning assumes complete responsibility for the entire event planning lifecycle, ensuring a seamless transition between sales and operations teams. This role is vital in maximizing revenue through strategic upselling and accurate forecasting while upholding exceptional standards of guest and employee satisfaction.
This role encompasses supervising the administrative processes involved in both pre-event and post-event phases to ensure smooth transitions and flawless event delivery. The Director is tasked with managing the event planning team, providing guidance, support, and leadership to staff who are responsible for handling events of varying complexities and sizes. The role requires a careful balance of operational oversight and strategic planning to align event execution with the company’s business goals.
Key responsibilities include assigning events to team members, overseeing function space allocation, managing group room blocks, and ensuring all departmental and property emergency procedures are adhered to with comprehensive staff training. The Director champions the overall event management strategy, actively reviewing upcoming events with direct reports to identify and troubleshoot potential challenges before they arise. A critical aspect of the role involves managing client budgets to maximize revenue opportunities while meeting customer needs and maintaining high satisfaction levels.
The role also requires hands-on leadership in planning and executing highly complex or high-profile events that carry significant financial impact. The Director leads catering menu development and ensures all standards, policies, and procedures are clearly communicated and upheld within the event planning team. Through regular meetings and by reviewing guest feedback, the Director addresses areas requiring improvement and implements corrective action plans to enhance service excellence.
Outstanding customer service and guest hospitality are at the heart of the Director’s duties, with a strong emphasis on maintaining a positive environment and solid guest relations. The role involves direct interaction with guests to gather feedback, resolve complaints, and respond promptly to any service issues. Physical demands of the job include working indoors and outdoors in varying conditions, lifting up to 80 pounds, and the ability to work flexible hours including weekends and evenings. Job Requirements
- High school diploma or equivalent
- Preferred degree in hotel and restaurant management, hospitality, business, or related field
- Minimum 4 years progressive event planning or hospitality experience
- Preferred knowledge of accounting systems
- Excellent written and oral communication skills
- High customer service orientation
- Strong attention to detail and problem-solving skills
- Ability to work independently and as a team member
- Availability to work various shifts including weekends and evenings
- Ability to lift up to 80 pounds
- Must be able to work indoors and outdoors in varying conditions
Job Qualifications
- High school diploma or equivalent
- Degree in hotel and restaurant management preferred
- Degree in hospitality preferred
- Degree in business preferred
- At least 4 years of progressive experience in event planning or related hospitality field
- Knowledge of accounting systems preferred

Job Duties
- Assigns all events turned over to the event planning team
- Oversees function space allocation and group room blocks for all turned opportunities
- Communicates and executes departmental and property emergency procedures

- Works with direct reports to review scheduled events and proactively troubleshoot potential challenges
