The Conference and Events Coordinator position within the Academic Celebrations and Special Events team of Medicine Administration at COM-T is a full-time, hourly role offering an hourly rate between $25.50 and $31.87, with excellent benefits eligibility. Reporting to the Manager of Special Projects, this role is essential to supporting the college's engagement, communications, and development objectives. The incumbent will be involved in the complete lifecycle of event coordination, including planning, logistics management, execution, and post-event follow-up. Responsibilities include managing vendor agreements such as catering, facilities, audiovisual services, entertainment, and other event necessities. The Coordinator will serve as the key facilitator during events, providing troubleshooting and ensuring seamless operations.

Collaboration is a significant aspect of this role, as the Coordinator works closely with Brand Communications and Alumni Engagement teams to create promotional materials, draft scripts and talking points, and design programs and invitations that reflect the college’s mission and values. Additionally, the incumbent will aid the Dean's Office in conceiving and implementing new projects and events aligned with institutional goals. Attention to detail and adherence to university policies and guidelines are paramount to ensure compliance at all levels.

This role requires strong technological proficiency, particularly with Microsoft Office Suite applications like Word, Excel, and PowerPoint, alongside the ability to adapt to new communication platforms and technology. The ideal candidate possesses a Bachelor’s degree or equivalent advanced learning through professional experience, accompanied by at least three years of relevant work experience or a combination thereof. This position is not eligible for visa sponsorship and involves a name-based criminal background check as part of the onboarding process.

Job Requirements

  • Bachelor's degree or equivalent advanced learning attained through professional level experience
  • Three years of relevant work experience or equivalent combination of education and work experience

  • Skills in utilizing Microsoft Office Suite programs such as Word, Excel, PowerPoint
  • Ability to work full time 40 hours per week
  • Must undergo a name-based criminal background check

Job Qualifications

Job Duties

  • Manage and execute the logistics and agreements for each event including catering, facilities, custodial, rentals, décor, entertainment, permits, audio/visual, and photography services
  • Attend all events to facilitate and manage successful operations, serving as the point-person for impromptu troubleshooting
  • Work closely with Brand Communications and Alumni Engagement to design event advertising, draft scripts and talking points, and create event programs and invitations
  • Assist the Dean’s Office in developing new projects and events
  • Ensure adequate staffing for events, working with staff volunteers to present polished events
  • Ensure all events comply with applicable University of Arizona and College of Medicine policies
