Sun Devil Athletics (SDA) is the dynamic athletic department of Arizona State University, located in Tempe, Arizona. The Special Event Coordinator is a full-time role within Sun Devil Athletics designed to support and coordinate a wide array of special events and athletic venue operations crucial to the department's success. Reporting under administrative guidance, this role is responsible primarily for the management of master scheduling across athletic venues to ensure scheduling precision and resolve conflicts efficiently. This position integrates operational coordination, document preparation, event management, and compliance monitoring aligned with NCAA, Conference, ASU, and Arizona Board of Regents policies. With an annual salary of up to $50,000 depending on experience, this role combines administrative savvy, operational control, and customer relations to deliver seamless special event execution and support to Sun Devil Athletics teams and patrons. Key functions include managing event logistics, vendor relations, budget oversight, contract administration, staffing coordination, and risk management strategies. The Special Event Coordinator will also actively facilitate event operations onsite, address emergent issues, and uphold exceptional standards for the department's high-profile Division I athletic events and related activities. The position requires a flexible work schedule including extended hours, weekends, evenings, and holidays to meet event demands, along with the capacity to work in various environments such as office settings and outdoor venues subject to weather conditions. The role expects strong organizational skills, communication expertise, and the ability to balance multiple simultaneous event priorities effectively. Job Requirements
- Bachelor's degree
- Three years of relevant experience
- Ability to work extended hours including evenings, weekends and holidays
- Capacity to work outdoors in various weather conditions
- Ability to stand for long periods and walk moderate distances
- Ability to lift, push and pull up to 25 pounds
- Valid US driver’s license
- Proficiency with standard office equipment and technology
- Ability to supervise event staff and student workers

Job Duties
- Coordinate and maintain the master schedule for assigned athletic venues
- Work with internal and external departments on all scheduling requests
- Communicate and coordinate associated logistics
- Coordinate and run event management meetings for assigned special events
- Ensure compliance with internal policies and procedures
- Coordinate with renter's management for event contracts and requirements
- Create, track and oversee assigned special event budgets
- Compile and distribute cost summaries for invoicing
- Maintain special event records and reports
- Attend special events to facilitate operations and respond to issues
- Ensure adequate staffing for special events and schedule crews
- Determine and coordinate resources needed for events
- Interface with support services personnel and university units
- Recommend approval or denial of facility rentals
- Provide assistance and information regarding facility use
- Represent university in public relations related to events
- Coordinate conferences and requested services
- Verify, compile and track event attendance
- Develop risk management policies and procedures
- Assist with vendor relationship facilitation
- Perform other assigned duties
- Participate in employee orientation and training for event staff
