We are currently seeking an experienced and detail-oriented Event Planner to join our dynamic team. This role is ideally suited for an individual with 2 to 5 years of experience in event planning, meeting planning, hospitality, or related areas, who is passionate about managing complex corporate events and delivering exceptional client experiences. The Event Planner will play a central role in orchestrating luxury meetings and events, ensuring all aspects from initial planning to final execution run smoothly and meet client expectations.

The successful candidate will thrive in a fast-paced environment where organization and multitasking skills are crucial. You will be responsible for managing multiple programs simultaneously, handling the logistics of corporate meetings, incentive travel, conferences, and special events. As a polished communicator, you will work directly with clients, vendors, and internal teams, balancing various elements such as budgets, timelines, contracts, and client needs. Adaptability and a solutions-oriented mindset are essential, as you will need to anticipate and resolve challenges proactively to maintain the highest service standards.

This position not only requires strong event planning technical skills but also the ability to foster and maintain positive relationships with clients and vendors. The Event Planner will source and secure venues that align with client objectives and budgets, negotiate contracts, coordinate attendee logistics, and oversee on-site event management. The role involves conducting site inspections, managing communications, and maintaining detailed event documentation. A valid passport is required as travel to both domestic and international locations may be necessary.

Job Requirements

  • Bachelor's degree in Communications, Hospitality, Marketing, Business, Event Management, or related field preferred
  • 2-5 years of event planning, meeting planning, hospitality, or related experience
  • Proficiency in Microsoft Office Suite
  • Must possess a valid passport

  • Experience managing multiple projects simultaneously

  • Experience with Cvent or similar event management platforms preferred
  • Experience planning corporate meetings, incentive travel programs, and conferences preferred
  • Experience negotiating hotel and vendor agreements preferred
  • Experience managing budgets and client-facing relationships preferred

Job Duties

  • Manage assigned meetings, conferences, incentive programs, and special events from planning through execution
  • Source and secure venues that align with client objectives and budget requirements
  • Negotiate contracts and manage vendor relationships with hotels, transportation providers, restaurants, entertainment partners, and other suppliers
  • Develop and manage event budgets while maintaining cost efficiencies and service quality
  • Create detailed event timelines, production schedules, and attendee communications
  • Coordinate attendee logistics including rooming lists, transportation manifests, registration, and special requests
  • Conduct site inspections and vendor meetings
  • Manage client communications throughout the planning process
  • Lead on-site event execution and serve as a primary point of contact during programs
  • Identify and proactively resolve issues before and during events
  • Maintain accurate event records, contracts, and planning documentation
  • Collaborate with internal teams to ensure successful delivery of client programs
  • Must possess a valid passport, as domestic and international travel may be required
