Job Requirements
- Ability to meet the transportation needs of the position
- Ability to lift, reach, bend, sit and/or stand for long hours
- Ability to walk continuously for long periods
- Ability to lift up to 20 pounds on occasion
- Demonstrated ability to effectively work with multicultural communities
- Must be able to work an irregular schedule including evenings, weekends and holidays
- Must be able to work overtime hours as required
Job Qualifications
- Six months of experience coordinating events such as conventions, conferences, consumer shows and banquets
- Or possession of an Associate or higher degree in business, hotel management, public administration or related field
- Or two years of experience coordinating activities and services for conventions, conferences, consumer shows, banquets and meetings
- Familiarity with the hospitality industry emphasizing customer service
- Knowledge of tools, equipment and services relevant to the convention and meeting service industry
- Understanding of team leadership principles and practices
- Proficiency with event management software and CAD (computer-aided drafting) software
Job Duties
- Plan, coordinate and oversee all phases of assigned events including advance planning, client meetings, day-of-event oversight and post event evaluation
- Serve as the lead client contact for assigned events and establish positive client relationships
- Schedule and participate in calls and meetings with clients to determine event needs
- Determine client needs and establish a plan for meeting those needs
- Coordinate services and equipment requirements for events and communicate necessary information to staff and catering teams
- Evaluate requests for changes or added services during events and determine implementation feasibility
- Oversee and monitor events while in-house and provide feedback to Event Services Manager
- Prepare event related paperwork using event management software and CAD software
- Create and revise event orders and room diagrams
- Communicate event equipment and service needs to clients, staff and outside suppliers
- Send event orders and room diagrams to clients for review and approval
- Schedule and attend internal and external meetings relevant to events
- Attend weekly Operations and Event Services meetings
- Conduct facility tours for clients and prospective clients
- Assist sales staff and Destination Madison with logistical inquiries
- Perform related duties as assigned
