Job Description
The Wisconsin Foundation and Alumni Association (WFAA) is a private, nonprofit corporation dedicated to fostering strong relationships between the University of Wisconsin-Madison and its alumni, donors, and friends. Established through the merger of the UW Foundation and the Wisconsin Alumni Association in 2014, WFAA plays a pivotal role in connecting the university community through philanthropic support and meaningful engagement opportunities. The role of Event Manager is integral to the Alumni Relations and Engagement team at WFAA. This position offers a full-time opportunity to contribute to the planning and execution of constituent engagement activities that enhance the connection between UW-Madison and its supporters. The Event Manager collaborates extensively with WFAA colleagues and university partners to design and deliver high-quality, memorable experiences that align with organizational goals.
This position requires a dynamic professional with strong attention to detail and the ability to oversee virtual, in-person, and hybrid events. The Event Manager is responsible for understanding client needs and applying industry best practices to inspire and engage alumni, donors, and friends. Key responsibilities include coordinating event logistics, managing vendor contracts, developing and monitoring event budgets, and providing on-site support to ensure seamless event execution. Additionally, the role involves supervising staff, volunteers, and campus partners involved in event support while troubleshooting any issues with professionalism and discretion.
Another critical aspect of this role is expertise in event technology, acting as a Subject Matter Expert for virtual event platforms, and supporting continued training and development for virtual event producers. The Event Manager contributes to long-term strategic planning within the unit and maintains detailed documentation of event activities and outcomes.

- must be able to work flexible hours including nights, weekends and holidays

- certified meeting planner (CMP) designation a plus but not required
- 1 plus experience working in a nonprofit or fund-raising environment preferred
- high degree of competency in Microsoft Office (Word, Excel and Outlook)

Job Duties
- Actively seek to understand and anticipate client needs and apply best practices to provide high-quality experiences to inspire alumni, donors, and friends
- collaborate with internal program, operations, marketing, and registration teams to meet overall event goals
- responsible for initiating, arranging, and overseeing all aspects of event logistics related to constituent experience
- provide informed event consultation based on research, best practices, and current event trends
- negotiate and manage contracts with third party vendors and service providers
- plan, oversee and lead projects from ideation through to completion
- create and monitor event and meeting related budgets and expenses
- provide on-site support as required
- schedule, manage and oversee staff, student, campus and alumni employees and volunteers providing event and meeting support
- ensure high quality, professional, effective events, including troubleshooting problems in a timely manner using tact and discretion
- participate in unit strategic planning, which includes short-term and long-term plans
- work with the Director of Event Services to coordinate and supervise daily operations
- assist in virtual event production
- troubleshoot platform issues and stay up-to-date on platform trainings and developments
- act as subject matter expert for virtual event platforms and events
- assist the Director of Event Services with Virtual Event Producers by offering continued training and support
- independently manage a wide variety of inquiries from internal and external clients
- positively represent the WFAA and the University
- provide exceptional customer service
- respond promptly to inquiries from internal and external constituents, seeking information and resolution
- adhere to team identified goals to obtain optimal results
- have knowledge of venue and facility management and necessary support requirements
- document event and meeting activity and outcomes
- demonstrate understanding of and effectively utilize organizational administrative policies and processes
- monitor and record event data in appropriate tool or system
