The Event Planner role at HighLevel is a critical, dynamic position responsible for the end-to-end planning and execution of a variety of events, including conferences, seminars, workshops, corporate events, and events sponsored by HighLevel itself. The role requires meticulous attention to detail, strong organizational skills, and the ability to coordinate multiple logistical elements such as vendor management, catering, audio-visual support, transportation, and much more. The Event Planner will work closely with internal stakeholders from marketing, communications, and operations departments to develop detailed event plans aligned with strategic business objectives.

This position demands a proactive individual who can manage event budgets, develop timelines, delegate tasks efficiently, and solve problems in real time. The planner will also be responsible for enhancing booth experiences by engaging attendees, fostering meaningful conversations, and promoting the HighLevel brand at events. Travel comprises about 20-30% of the role, including occasional weekend availability during corporate events. Physical requirements include the ability to lift up to 50 pounds and participate in event setup and breakdown activities.

Job Requirements

  • Must be available to work and attend meetings during regular business hours Monday through Friday, 9:00 am - 5:00 pm CST
  • Work availability, hours, and days change when attending events
  • Ability to travel 20-30 percent including some weekends
  • Ability to lift up to 50 pounds and stand for prolonged periods
  • Bachelor’s degree preferred but not required
  • 1-2 years experience in event planning or related field
  • Proficiency in event management software and Microsoft Office Suite
  • Strong organizational skills
  • Excellent communication skills
  • Proactive and accountable work ethic

Job Qualifications

  • Bachelor's degree in Event Management, Marketing, or related field preferred
  • 1-2 years of experience in event planning, marketing, or customer relations
  • Experience with virtual and hybrid event platforms
  • Proficiency in event management software and Microsoft Office Suite

Job Duties

  • Plan and execute diverse events independently including conferences, seminars, workshops, corporate events, and HighLevel sponsored events
  • Travel as required 20-30 percent including occasional weekends
  • Engage with attendees at events to promote the HighLevel brand and generate leads
  • Collaborate with stakeholders to define event objectives and outcomes
  • Develop comprehensive event plans with timelines, budgets, and task lists
  • Manage logistics including supply packing/shipping, catering, audio-visual support, and transportation
  • Negotiate and manage vendors, venues, and service providers
  • Delegate tasks and provide real-time problem-solving
  • Assist with event setup and dismantling including lifting up to 50 lbs and prolonged standing
  • Coordinate with internal teams for seamless event execution
  • Conduct post-event evaluations, analyze data, and compile reports
  • Maintain flexibility to work in the Dallas office as needed
  • Bring a collaborative and professional attitude at events
