The role of Event Services Coordinator at Hilton is pivotal in ensuring smooth and memorable event experiences for guests. This position involves supporting event delivery by managing communications, maintaining accurate data, preparing client kits, compiling meeting files, and providing essential administrative support to the event services team and hotel leadership. The coordinator acts as a liaison between clients and the hotel, ensuring all event details are meticulously organized and that client expectations are met with precision and hospitality.

An Event Services Coordinator is responsible for drafting client correspondences including Banquet Event Orders and convention resumes, ensuring these documents are accurate and reflect the clients' requirements. They also manage the computerized function book, inputting and updating event and guest details to maintain perfect coordination for each event. Preparing client kits with orientational meeting details and compiling Meetings & Conventions binders to make key event information accessible are essential tasks in this role. Administrative duties such as answering phones, managing email inboxes, processing mail, and routing correspondence underline the importance of organizational skills and attention to detail.

Job Requirements

  • High school diploma or equivalent
  • Previous experience in hospitality or event services
  • Strong written and verbal communication skills
  • Proficiency with office software and event management systems

Job Duties

  • Support event communications by drafting client correspondences, Banquet Event Orders (BEOs), convention resumes, and internal memos
  • Maintain accurate event data by inputting, updating, and proofreading event and guest details in the computerized function book (FDC) and managing guest room rate cards
  • Prepare client kits by maintaining and distributing meeting and convention orientation details
  • Compile meeting files by creating and organizing Meetings & Conventions binders with key event details
  • Provide administrative support including answering phones, managing email inbox, processing incoming and outgoing mail, routing correspondence, and performing other general office duties
