The Event Staffing Admin role at SXSW is crucial for ensuring seamless volunteer coordination and communication throughout the year and particularly during the major event in March. This is a full-time position based in Austin, Texas, offering a comprehensive opportunity to engage with various aspects of event planning, digital communications, project management, and community outreach. The successful candidate will be responsible for managing essential digital communication channels such as the SXSW Volunteer Newsletter and email inbox, acting as the administrative backbone for volunteer-related events including Volunteer Call, Manager Meetings, and the Volunteer Appreciation Party.
This role requires proficiency in project management tools and the ability to maintain and update a volunteer database using platforms like Rosterfy. The Event Staffing Admin will collaborate closely with department leadership and staff to align event goals and timelines, provide critical oversight to volunteer and staff event activities, and support partnerships with community and academic institutions. On-site responsibilities during the event include real-time scheduling assistance, volunteer support, problem reporting, and enforcement of company policies.
Strong communication skills, attention to detail, and a customer service mindset are vital to this position. Familiarity with Google Workspace, Microsoft Office, Airtable, and willingness to learn new technologies are also essential. Candidates should be dependable, able to work independently and as part of a team, and comfortable operating under pressure during a busy event environment. The position demands flexibility in working hours, especially in the months leading up to and during the March event, where extended hours including evenings and weekends are expected. - Physical ability to perform tasks including sitting or standing for prolonged periods, lifting up to 15 pounds, manual dexterity for office equipment, occasional bending, reaching, kneeling, or stair climbing, and working outdoors in varying conditions
Job Qualifications
- Prior event experience with a general understanding of overall event operations
- Experience at SXSW preferred
- Excellent written and verbal communication skills, especially in email communications and public-facing content
- Project management and administrative experience with the ability to prioritize and manage timelines
- Outstanding customer service and interpersonal skills
- Highly organized with keen attention to detail and ability to set and maintain a communications calendar
- Confidence in making decisions while working under pressure
- Comfortable working both independently and within a team
- Knowledge of Google Workspace, Microsoft Office, Airtable, Rosterfy, and willingness to learn new software
Job Duties
- Design, implement, and act as administrator of the department's project management tools
- Work with department leadership and staff to coordinate event and project goals and timelines
- Provide guidance and oversight of the run-of-show for volunteer- and staff-related events
- Manage content and build readership for the SXSW Volunteer Newsletter
- Support Community and University partnerships and aid in student scheduling and experience
- Reinforce both internal and external customer service efforts
- Manage the SXSW Volunteer email inbox and respond to all communications promptly
- Assist with maintaining and managing the volunteer database functionalities in Rosterfy
- Render schedule changes and email assistance to volunteer crews in a timely manner on-site
- Provide on-site information regarding projects as needed
- Provide customer service and support to event attendees, personnel, and volunteers on-site
- Use identified reporting methods to document operational challenges or request assistance on-site
- Ensure company policies and procedures are maintained by event staff and volunteers
