Within Abbott’s Cardiac Rhythm Management Division, located in Austin, TX, the Meetings & Events Coordinator role is a key position supporting corporate events and activities such as corporate meetings, conferences, and training sessions. This role involves working onsite full-time and focuses on managing the end-to-end planning and execution of a variety of events designed to support Abbott’s innovative technologies in cardiac rhythm management. These technologies aim to improve treatments for patients with irregular heartbeats, enhancing quality of life and clinical outcomes.

The Meetings & Events Coordinator is expected to be a creative, resilient, and energetic professional equipped with strong organizational and project management skills. This individual will coordinate every aspect of meetings and events, from travel logistics and vendor management to onsite execution and financial oversight. Job Duties

  • Plan and execute corporate meetings, conferences, training programs, and internal and external business events
  • manage event logistics including registration, travel coordination, hotel accommodations, ground transportation, audiovisual services, and onsite event execution
  • develop and oversee attendee communications and event materials ensuring alignment with program objectives and brand standards
  • direct onsite event operations resolving issues and managing stakeholder needs
  • analyze event needs and recommend solutions for venue selection, vendor engagement, and program delivery
  • manage vendor and supplier relationships including contract administration and performance monitoring
  • collaborate cross-functionally to develop and implement meeting and event strategies
  • evaluate and negotiate vendor proposals, ensuring budget compliance and risk mitigation
  • maintain alignment with global meeting strategies and provide guidance to worldwide stakeholders
  • oversee event financials including budget development, forecasting, expense tracking, and reconciliation
  • monitor project timelines, milestones, and risks ensuring successful event delivery
  • ensure compliance with company policies, healthcare regulations, and transparency requirements
  • analyze program effectiveness through feedback and performance metrics to improve future events
