Job Description

The US Oncology Network is searching for a Patient Services Coordinator to become an integral member of their team at Texas Oncology. This full-time role is based in the Medical Oncology Department at the 501 Saunders Avenue clinic located in Tyler, Texas. The standard work schedule for this position is Monday through Friday, from 8:00 a.m. to 4:30 p.m. This position offers multiple levels of employment, including level 1, level 2, and Senior, determined by the candidate’s relevant work experience and qualifications. The Patient Services Coordinator plays an essential role within this ecosystem and is often the first point of contact in the clinic. The coordinator greets and welcomes patients, their family members, and visitors, ensuring a prompt, courteous, and professional experience right from the start. They are responsible for registering patients, scheduling appointments efficiently, and handling all incoming calls with care and professionalism by directing calls to the appropriate departments or personnel. Beyond administrative duties, the coordinator strictly adheres to compliance programs including ethical standards and US Oncology's core shared values, ensuring patient information is handled with strict confidentiality, respecting HIPAA and legal regulations. This role requires multitasking between providing excellent customer service at the front desk, managing patient data accurately, and coordinating communication between clinical staff and patients. Job Requirements

  • High school diploma or equivalent
  • Some receptionist or office experience preferred
  • Proficiency with computer systems and Microsoft Outlook, Office Word, and Excel
  • Successful completion of required e-learning courses within 90 days
  • At least eighteen (18) months front medical office receptionist experience with insurance forms and scheduling software for level 2
  • Knowledge of practice personnel, daily routines, and scheduling for level 2
  • At least 5 years front medical office receptionist experience with insurance forms and scheduling software for Senior level
  • Ability to sit and use hands regularly
  • Occasional standing, walking, and reaching
  • Ability to lift or move up to 30 pounds
  • Vision and hearing corrected to normal ranges
  • Ability to interact frequently with patients and staff

Job Qualifications

  • High school diploma or equivalent required

  • Must successfully complete required e-learning courses within 90 days of occupying position
  • At least eighteen (18) months front medical office receptionist experience with insurance forms and scheduling software required for level 2

  • At least 5 years front medical office receptionist experience with insurance forms and scheduling software required for Senior level

Job Duties

  • Greets patients and visitors to the clinic in a prompt, courteous and professional manner
  • Checks in patients and informs clinical staff of patient arrival
  • Provides and explains paperwork for the patient to complete prior to examination
  • Collects, proofs for completeness, and files patient forms
  • Updates demographics and insurance information in the system
  • Collects co-pays and balances
  • provides receipt
  • Answers, screens, and responds to routine questions, routes to appropriate personnel, or take thorough messages
  • Pages clinic personnel as appropriate
  • Communicates messages in an accurate and timely manner according to procedures
  • Checks patients out after examination
  • Schedules returning appointments in accordance with physician and/or office guidelines
  • Provides patients with appointment details such as time, location, directions, instruction sheets, and other details
  • Records patient cancellations and missed appointments
  • reschedules appointments
  • Notifies appropriate staff of the cancellation and makes note in patient chart
  • Provides general administrative support by filing charts and forms
  • Maintains lobby area in a neat and orderly manner
  • Maintains a legible supply of forms and appropriate office supplies required for daily activities
  • Adheres to confidentiality, state, federal, and HIPPA laws and guidelines with regards to patient’s records
  • Other duties as requested or assigned
