The Event Manager position within Babcock Dairy is a pivotal role responsible for the meticulous planning, coordination, and execution of over 100 diverse events each year both on and off campus. These events range from scoop shops at athletic games to community markets featuring Babcock Dairy products, each requiring exceptional organizational skills and comprehensive oversight. As the primary on-site leader, the Event Manager ensures that every event complies with food safety, health regulations, and university policies while delivering outstanding customer service. The role demands a visible physical presence during events to supervise student employees, manage product quality and inventory, and guarantee a seamless experience from setup to teardown.

This full-time, on-site position requires a dynamic individual capable of managing multiple events in a single day with strong project management and multitasking abilities. The Event Manager works closely with university health inspectors, internal event partners, and the broader Babcock Dairy team to maintain high standards and resolve real-time challenges effectively. Responsibilities include securing event spaces, managing vendor relationships, negotiating contracts, establishing budgets, ordering supplies, and ensuring compliance with OSHA and PCI payment security standards. Additionally, the position involves logistical preparations such as equipment checks, product transportation, and coordination of off-campus event travel.

Candidates must possess solid knowledge of food safety regulations and demonstrate proven supervisory experience in a fast-paced environment. Certification such as ServSafe Food Manager is required within six months of hire, alongside eligibility for UW-Madison Driver Authorization. The position also requires physical stamina to stand for extended periods, lift heavy weights, and handle demanding on-site logistics. Compensation starts at a minimum of $60,000 annually, commensurate with experience, with comprehensive benefits including vacation, paid time off, health and dental insurance, retirement plans, and more. Job Qualifications

  • Demonstrated experience planning and executing events, including on-site coordination, logistics, and customer-facing operations
  • Applied knowledge of food safety regulations and experience ensuring compliance with local/state health codes, OSHA standards, and organizational policies
  • Proven supervisory experience, including training, scheduling, and overseeing employees in a fast-paced setting
  • Experience managing high volume or concurrent events such as athletic events, campus programs, or large public gatherings
  • Current ServSafe Food Manager Certification or prior experience maintaining food safety certifications in a regulated food service or event environment
  • Bachelor’s Degree preferred in Hospitality Management, Event Management, Food Service Management, or a related field or equivalent professional experience

Job Duties

  • Plan, coordinate, and execute events from concept through completion
  • Develop and manage event timelines, run-of-show documents, and logistics plans
  • Secure event spaces and manage vendor relationships
  • Negotiate contracts and manage event budgets
  • Manage inventory and order event supplies and products for resale
  • Provide excellent customer service at all events
  • Oversee on-site event setup, execution, and teardown
  • Supervise and coordinate event staffing, and student employees
  • Ensure compliance with food safety regulations, OSHA standards, university policies, and personnel procedures
  • Troubleshoot issues in real time during events
  • Conduct post-event evaluations and reporting, including attendance tracking, budget reconciliation, and feedback analysis
