As an Event Planning Manager, the successful candidate will oversee a dynamic team that includes Senior Event Managers, Event Managers, Associate Event Managers, and Administrative Assistants. The position demands leadership in the administrative processes related to both pre-event preparations and post-event follow-up, ensuring flawless coordination across all stages of event planning and execution.
The role is integral to the hotel's operational success, focusing heavily on communication, revenue optimization, and guest satisfaction. This person acts as a critical link between the sales and operations teams, ensuring a smooth transfer of responsibilities and maintaining high service standards throughout. Responsibilities include maximizing revenue through effective forecasting and up-selling opportunities for catering and group room blocks, managing financial performance, and leading strategic initiatives to enhance the event management experience at the property.

Job Requirements
- High school diploma or GED
- Minimum 4 years of relevant experience in event management, food and beverage, sales and marketing, or related professional field
- OR Associate degree from an accredited university in Hotel and Restaurant Management, Hospitality, Business Administration, or related major
- Minimum 2 years of relevant experience
- Proven leadership and organizational skills
- Strong verbal and written communication abilities
- Ability to manage budgets and financial aspects of events
- Competency in coordinating complex or high-profile events
- Knowledge of safety protocols and emergency procedures
- Availability to work full time at the W Austin location
Job Qualifications
- High school diploma or GED with 4 years experience in event management, food and beverage, sales and marketing, or related professional area
- OR 2-year degree from accredited university in Hotel and Restaurant Management, Hospitality, Business Administration, or related major with 2 years experience in event management, food and beverage, sales and marketing, or related professional area
- Strong leadership and team management skills
- Excellent communication and interpersonal skills
- Proven ability to manage multiple events and projects simultaneously
- Competence in budget management and revenue optimization
- Experience in guest relations and customer service excellence
- Ability to work effectively with cross-functional teams and vendors
- Knowledge of safety and emergency procedures relevant to event management
Job Duties
- Assigns all events turned over to Event Planning team
- Oversees function space and group room blocks for turned opportunities
- Communicates and ensures staff training in departmental and property emergency procedures
- Leads execution of activities to support Event Management strategy
- Reviews scheduled events with direct reports to troubleshoot potential challenges or conflicts
- Leads discussions to review event complexity and proactively avoid service challenges and failures
- Ensures the property is apprised of all groups impacting property operations
- Manages customer budgets to maximize revenue and meet customer needs
- Maintains inventories to maximize customer satisfaction and revenue opportunities
- Works with highly complex or high profile groups when financial impact is significant
- Leads catering menu development process
- Champions all standards, policies and procedures for the Event Planning team
- Leads Event Management meetings
- Reviews comment cards, guest satisfaction results and other data to identify areas of improvement
- Shares plans with property leadership and ensures corrective action to improve guest satisfaction
- Displays leadership in guest hospitality and creates positive guest relations atmosphere
- Interacts with guests to obtain feedback on product quality and service levels
- Responds to and handles guest problems and complaints
- Strives to improve service performance
- Empowers employees to provide excellent customer service
