The Wedding & Social Event Manager at The Fort Worth Club plays a vital role in maintaining the club’s reputation for excellence by managing the full lifecycle of wedding and social event planning. The Wedding & Social Event Manager is tasked with increasing revenue within the Catering Department by adhering to established procedures, effectively closing sales leads, and maximizing upselling opportunities during event planning discussions. This position requires strong communication skills to ensure seamless coordination between members, guests, and the various departments within the club, including banquet and culinary teams.
The manager oversees private room scheduling, manages event logistics including room diagrams via software such as Social Tables, and leads client interactions including sales tours, planning meetings, and tastings. Additional responsibilities involve verifying setup accuracy, managing event documentation such as contracts and function sheets, ensuring timely collection of payments, and approving event billing with proper routing to accounting. The role demands an exemplary display of professionalism and adherence to best practices, emphasizing continuous communication with clients to guarantee a streamlined and personalized event planning experience.

Job Requirements
- Minimum of 3-year event management experience in private club or comparable environment
- Ability to multitask and stay organized in fast-paced, high-pressure environments
- Strong communication and interpersonal skills
- Availability to work 40-45 hours per week including some holidays and weekends
- Ability to relocate to Fort Worth, TX before starting work
- Physical ability to spend time on feet during events
- Proficiency in event planning and coordination
Job Qualifications
- Four-year college degree preferred with a major in Hospitality, Business or Marketing
- Prior experience managing large volume of events
- Proficient in basic computer programs including Word and Excel
- Experience with hospitality software such as Jonas, Delphi, Reserve or ClubCater
- Experience with diagramming software like Meeting Matrix, Social Tables or All Seated
- Excellent organizational and time management skills
- Knowledge of menu planning, wine, and room layouts
- Knowledge of proper business and dining etiquette
- Ability to handle stressful situations with calmness and grace
Job Duties
- Support Director of Catering by overseeing adherence to department policies and procedures
- Maintain oversight and management of private room scheduling in ReServe for weddings and social events including rehearsal dinners, post toasts, baby showers, bridal showers, birthday parties, and additional events assigned by Catering Director
- Create room diagrams for each event utilizing Social Tables
- Meet with event hosts to conduct sales tours, planning meetings, tastings, and greet at start of events
- Verify all function set-ups for the day and following day by conducting walk-throughs and communication with banquet staff
- Participate in production and distribution of daily banquet changes and guarantees
- Participate in production and distribution of elevator sheets and marquis signs
- Check and return all phone and email messages the same day
- Utilize an out of office message for normal business days away
- Follow-up on new business leads to secure bookings and maximize room utilization
- Secure signed contracts for each wedding and large event and signed function sheets for all wedding-related and smaller events
- Keep all signed contracts neatly filed
- Collect payment for all events prior to event according to contract payment schedule
- Approve event billing and route to accounting promptly following events
- Maintain constant communication with booked brides and clients to ensure guest satisfaction and proper planning and scheduling
- Schedule planning meetings, menu tastings, and cake tastings with each wedding and appropriate large event client
- Ensure initial planning meeting occurs no less than 90 days prior to event date
