Position: Special Events Assistant
About: Cinema West is seeking a Special Events Assistant (SEA) to play a pivotal role in supporting the planning, coordination, and execution of special events. This position provides essential administrative and logistical support to potential clients, ensuring seamless and efficient event execution. The SEA is expected to work on-site as needed, including evenings, weekends, and holidays, to ensure the success of each event.
Requirements: Primary Duties & Responsibilities: Schedule events at all Cinema West locations; Coordinate with internal staff, clients, & vendors to establish event requirements; Communicate with theatre Managers and lead pre-event meetings; Assist with logistics for all events, including billing, staffing needs, venue preparation, and more; Coordinate on-site preparations, production, and event breakdown; Develop a complete understanding of event requirements; Research vendors and make selections based on creativity, quality, and cost; Troubleshoot any issues that arise on event day. Required Skills & Qualifications: Previous experience in event planning is a plus; Proficient in Microsoft Office Suite and event management software; Proven track record of successful events; Experience in graphic design, sales, marketing & communications; Excellent organizational, communication, multitasking skills; Ability to remain calm under pressure and maintain a customer-service mindset; Established relationships with vendors; Experience in managing budgets and tracking expenses; Strong problem solver; Adept at multitasking under tight deadlines and unforeseen challenges; Excellent time and project management skills; Ability to work collaboratively in a team environment; Fun, outgoing, and energetic personality.
