Job Description

We are currently seeking an experienced and highly organized Wedding Planner to join our team on a contract basis. This role is perfect for a detail-oriented professional who is passionate about crafting exceptional weddings and thrives in dynamic and fast-paced environments. As a Wedding Planner at RSVP Events, you will be the primary point of contact for couples, guiding them through every step of the planning journey with a calm, polished, and client-focused approach. This position requires a mix of remote planning capabilities and hands-on event management, with mandatory on-site responsibilities including venue walkthroughs, rehearsal coordination, and direct client and vendor meetings. Candidates must reside in the Greater Grand Rapids area to fulfill these crucial on-site duties.
The Wedding Planner is responsible for managing every facet of the wedding planning process from initial consultation to flawless execution on the wedding day. This includes leading client meetings via video, phone, and in-person; building and nurturing strong relationships with venues and vendors; managing clear and timely communication with clients; researching and recommending vendors that meet client needs and budget considerations; reviewing contracts; and meticulously organizing timelines and logistics. Beyond logistics, this role encompasses providing design guidance to enhance the event’s aesthetic and guest experience, coordinating detailed event layouts, and ensuring smooth wedding day operations including vendor arrivals, setup, and troubleshooting.
Compensation for this contract role is commission-based, typically earning 25-30% per booked event package, with rates influenced by experience, expertise, and scope of responsibilities. The position demands strong multitasking skills, autonomy, proficiency in Google Workspace (with Canva experience preferred), and excellent interpersonal communication. The role involves working flexible hours, including evenings and weekends, and requires reliable transportation for local travel.

Job Duties
- Lead planning meetings via video call, phone, and in-person consultations
- Build and maintain strong relationships with clients, venues, and vendors
- Manage client communication in a timely, professional, and organized manner
- Research, recommend, and coordinate vendors based on client needs and budgets
- Review vendor contracts and monitor planning deadlines
- Create and manage detailed wedding timelines, logistics plans, and production schedules
- Assist with event layout development and floor plan coordination
- Provide design guidance and support for overall event aesthetic and guest experience
- Coordinate wedding rehearsals and oversee full wedding day execution
- Manage vendor arrivals, setup, timeline flow, and troubleshooting on-site
- Attend venue walkthroughs, tastings, and vendor meetings as needed
- Ensure events are executed smoothly while maintaining a high level of professionalism under pressure
