The Camp Administrator & Event Manager reports directly to the Director of Operations & Event Management and is an essential member of the Operations & Event Management team. This full-time, exempt role is pivotal in supporting the University's goal of delivering "Exceptional Experiences for Every Guest." The position focuses on the comprehensive oversight, coordination, and administration of athletic camps and clinics hosted at the University of Michigan. This includes the management of summer camps and academic year clinics, which are run by the university's coaches. Key responsibilities involve developing and monitoring procedures to ensure that these camps and clinics operate safely, effectively, and in compliance with university policies.

In addition to camp and clinic management, this role carries significant responsibilities related to event management for assigned sports. The Camp Administrator & Event Manager collaborates with a broad spectrum of stakeholders, including internal department staff, coaches, visiting teams, officials, conference representatives, media networks, and external vendors involved in hosting sporting events. Coordination efforts span from scheduling and staffing to budget oversight and communication management. The role facilitates the smooth execution of events by developing detailed game operations manuals, recruiting and training event personnel, managing workforce scheduling software, and ensuring consistent service standards across events.

This position also involves liaising with various university units such as Housing, Internal Audit, Recreational Sports, and Risk Management to support camp and clinic operations as well as event logistics. The Camp Administrator & Event Manager plays an active role in university committees, contributes to the creation and update of policies and procedures, and assists in financial negotiations such as establishing charge-back rates. The role extends to managing the UMAD Courtesy Vehicle Program and performing administrative duties such as correspondence, meeting coordination, and compliance assurance with NCAA, Big Ten, and university purchasing protocols.

Job Duties

  • Conduct regular checks on sports camps and clinics and develop oversight plans
  • Ensure adherence to university policies regarding facility usage, risk management, and minors on campus
  • Organize and approve camp and clinic schedules for facilities and housing
  • Serve as a liaison with university units supporting camps and clinics
  • Develop, review, and update policies and documentation for sports camps and clinics
  • Establish and communicate financial charge-back rates with individual sports programs
  • Coordinate event management activities including communication with teams, officials, and media
  • Develop and maintain game operations manuals
  • Recruit, train, and evaluate event operation personnel
  • Utilize workforce management software for scheduling and payroll
  • Evaluate and improve event management procedures
  • Ensure accuracy of event information in publications and online
  • Monitor and coordinate parking and event budgets
  • Assist with hosting B1G and NCAA Championships
  • Manage UMAD Courtesy Vehicle Program and associated risk management
  • Handle inquiries and correspondence with discretion
  • Prepare special reports, fiscal records, and track budget expenses
  • Assure compliance with NCAA and Big Ten rules and university purchasing protocols
  • Perform other duties as assigned by the Director of Operations and Event Management
