Conference & Event Services (CES) at the University of Michigan is a specialized department dedicated to providing comprehensive expertise in conference and event management to both internal university units and external clients. Annually, CES coordinates and oversees more than 15,000 diverse events, catering to a broad spectrum of needs including academic conferences, social events, student programs, and large-scale summer conferences. Job Requirements

  • Bachelor's degree
  • Minimum of 2 years of event management experience or equivalent combination of education and experience
  • Ability to work in cooperation with staff
  • Ability to meet deadlines
  • Excellent interpersonal skills
  • Proven aptitude in handling and resolving details
  • Working knowledge of Microsoft Office Suite including Word, Excel, and PowerPoint
  • Working knowledge of Google Suite
  • Ability to work under pressure
  • Ability to handle multiple projects simultaneously with proven accuracy and productivity

Job Qualifications

  • Bachelor's degree
  • Minimum of 2 years of event management experience or equivalent combination of education and experience
  • Excellent interpersonal and partnering skills
  • Strong initiative and ability to meet deadlines
  • Proven ability to handle and resolve details effectively
  • Proficient with Microsoft Office Suite including Word, Excel, and PowerPoint
  • Proficient with Google Suite
  • Ability to work under pressure with accuracy and high productivity
  • Experience in higher education preferred
  • Experience in conference planning preferred
  • Proficiency with event management software such as EMS or Social Tables preferred

Job Duties

  • Manage the planning and execution of assigned programs including scheduling and monitoring all logistical and support services such as dining, catering, facilities, housing, and registration
  • Manage planning and execution of weddings, student, departmental, and social events
  • Collaborate with campus and outside service providers to secure necessary services and negotiate on behalf of clients
  • Work collaboratively with the sales team to transition contracted business
  • Maintain program data in event management software, update program confirmations, and ensure timely receipt of signatures and funds
  • Provide support to conference operations as assigned
  • Assist onsite for programs as required by management
  • Respond to client inquiries and log event details in the event management database
  • Engage with event sales inquiries and assist with onsite venue tours
  • Assist with development of bid proposals, budgets, and contracts, and process executable contracts
  • Stay informed of market trends and implement changes as necessary
  • Create and execute program budgets and authorize payments for event expenses
  • Assist with client billing process including audit and approval
  • Set up client files according to established guidelines
  • Attend staff training and professional development opportunities
  • Perform other duties as assigned
