Situated in Fayetteville, Arkansas, the university serves a diverse student population and is dedicated to fostering an inclusive environment where students, faculty, and staff can thrive. With a focus on research, community service, and cultural enrichment, the University of Arkansas is a cornerstone of higher education in the region and a significant contributor to the economic and social development of the state. Our campus is a dynamic place that hosts numerous events, seminars, workshops, and conferences each year, enhancing the educational experience and fostering community engagement.
The role of the Event and Special Projects Coordinator at the University of Arkansas is a dynamic and rewarding position tailored for a detail-oriented and creative professional passionate about event planning. This full-time position is ideal for someone who thrives in a fast-paced university environment and enjoys collaborating with a wide range of departments and organizations. As the Event and Special Projects Coordinator, you will be responsible for planning and executing various campus events, including conferences, workshops, ceremonies, and special projects that enhance the university's mission and visibility. You will develop and oversee event budgets, manage timelines and project plans, and coordinate all logistical needs such as venue selection, catering, audiovisual equipment, and transportation. Additionally, you will negotiate with vendors to secure the best rates and ensure quality services while working closely with marketing and communications teams to promote events effectively across multiple channels. A critical part of your duties involves ensuring compliance with university policies, as well as local, state, and federal regulations regarding permits, licenses, and insurance for events. You will also manage event staff and volunteers, oversee post-event evaluations, and maintain meticulous records including contracts, budgets, and attendance. The coordination and smooth execution of events require your excellent organizational skills, problem-solving abilities, and calm demeanor when handling challenges. Representing the university professionally, you will help foster an inclusive atmosphere by supporting diversity and equity in all events. This position is not only about managing events but also about enhancing the community spirit and academic environment through meaningful, well-organized, and engaging experiences that uphold the values and standards of the University of Arkansas.
