This role serves as an essential support function for lawyers, paralegals, marketing professionals, and administrative staff by orchestrating a variety of client-facing and internal events that help build and strengthen relationships.
In this position, the Event Coordinator will primarily support the Winston-Salem office, handling event logistics from CLE (Continuing Legal Education) opportunities, sporting events, social gatherings, to large-scale firm-wide retreats and conferences. Working closely with two Event Managers and other office teams, this role includes managing all facets of event preparation, such as venue selection, catering arrangements, transportation logistics, accommodations, and audio/visual equipment setup. The coordinator will also liaise with outside vendors, including property managers, caterers, promotional product representatives, and trade show coordinators, ensuring seamless execution of all events. Additionally, the coordinator will help curate client mailing lists, design and manage event invitations, and follow up on client development prospects post-event.
Attention to detail, organizational skills, and multitasking ability are key competencies needed to thrive in this role, as the coordinator will juggle multiple projects simultaneously while working collaboratively across departments to meet overall marketing and client development objectives. The role demands a solution-oriented mindset with excellent judgment, strong communication skills, and diplomatic poise to handle sensitive situations professionally. Participation in marketing meetings, reporting on project status, and contributing to budgeting efforts round out the responsibilities. Job Duties
- assist Winston-Salem Office Managing Partner and Office Administrator with local events
- support Marketing & Business Development Manager in event planning, budgeting, and day-of management
- collaborate with lawyers, staff, and marketing teams on mailing lists and event invitations
- liaise with outside vendors such as caterers, event planners, and trade show coordinators
- coordinate logistics for sponsorships and events as primary contact for local organizations
- participate in monthly marketing meetings and provide event project status reports
- manage ticket distribution for local sporting and community events
- assist with budget development and ensure compliance with expense policies
- support North Carolina and large firm events with some travel
- handle all logistics including venue selection, catering, transportation, accommodations, and A/V equipment
