Amex GBT is currently seeking a highly analytical and detail-oriented Meetings & Events Coordinator to join their dynamic team. This role is essential in supporting complex and high-visibility meetings and events within a fast-paced, high-tech environment. As a Meetings & Events Coordinator, the successful candidate will be responsible for managing the end-to-end coordination of attendee air charter assignments, acting as a critical control point for attendee movement and logistics execution. This position requires exceptional data management skills, strong operational knowledge of meetings and events, and the ability to work accurately and efficiently under pressure. The role demands discretion and professionalism as it involves handling sensitive and high-profile traveler information.
The Meetings & Events Coordinator will be tasked with building and maintaining detailed arrival and departure manifests, performing ongoing quality audits, and partnering closely with air charter vendors, internal stakeholders, and cross-functional teams such as registration, housing, transportation, security, and on-site operations. A seamless end-to-end attendee journey is paramount, and this role serves as the primary liaison between various teams and air charter providers to ensure flawless execution. The coordinator must also monitor and manage real-time travel changes, troubleshoot issues related to travel disruptions, and support the integration of attendee data across multiple platforms while maintaining integrity and accuracy.
This position offers a US national base salary range of $55,300 to $102,700, dependent on the level of experience, skills, and location. Job Requirements
- Bachelor's degree or equivalent experience
- 3-5 years of relevant experience in meetings and events or travel logistics
- proficiency in Google Sheets and data management
- experience with event technology and travel management tools
- strong organizational skills with attention to detail
- excellent communication abilities
- ability to manage multiple priorities in a fast-paced environment
- discretion when handling confidential information
Job Qualifications
- 3-5 years of experience in meetings and events, travel logistics, or attendee management
- strong understanding of meetings and events operations especially travel coordination
- advanced experience with manifests and large datasets with zero-error mentality
- advanced proficiency in Google Sheets including pivot tables and formulas
- experience with event technology platforms such as Cvent
- knowledge of domestic and international destinations and airport logistics
- ability to prioritize tasks and work under tight deadlines
- strong analytical, problem-solving, and communication skills
- demonstrated professionalism and discretion with sensitive attendee information
Job Duties
- Lead the assignment of attendees to air charter flights based on role segmentation, build, maintain, and reconcile arrival and departure manifests with 100% accuracy, perform ongoing audits and quality checks to resolve data discrepancies, partner with air charter vendors and internal stakeholders to align flight schedules, collaborate with registration, housing, transportation, security, and on-site teams to ensure end-to-end attendee journey, monitor and handle real-time travel changes including cancellations and substitutions, troubleshoot travel disruptions with solutions-oriented approach
