Job Requirements

Job Qualifications

  • Minimum of 5 years of experience in event planning with a portfolio showcasing successful execution of large-scale events
  • Proven ability to manage complex budgets and negotiate effectively with vendors
  • Exceptional organizational and project management skills
  • Strong creative vision and a keen eye for detail
  • Excellent interpersonal communication and presentation skills
  • Proficiency in event management software and MS Office Suite
  • Ability to multitask and thrive under pressure in a fast-paced environment
  • Flexibility to work evenings and weekends as required by event schedules
  • Bachelor's degree in Hospitality Management Marketing Communications or a related field preferred
  • Certification from a recognized event planning association is a plus

Job Duties

  • Conceptualize and develop creative event themes and concepts
  • Manage event budgets ensuring cost-effectiveness and profitability
  • Source negotiate with and manage relationships with vendors including caterers decorators AV and entertainment
  • Select and secure appropriate venues conducting site visits and evaluations
  • Develop detailed event timelines production schedules and run-of-show documents
  • Oversee all logistical aspects including staffing registration transportation and accommodation
  • Manage event registration processes and attendee communication
  • Provide on-site management during events ensuring seamless execution and problem resolution
  • Coordinate with clients throughout the planning process providing regular updates and managing expectations
  • Conduct post-event evaluations and debriefings to identify areas for improvement
  • Maintain a strong network of industry contacts and emerging trends
  • Ensure all events adhere to safety regulations and legal requirements
