The Event Planning Coordinator role within Student Life at the Ohio Union is a dynamic and integral position focused on ensuring the successful execution of a wide range of campus events. This role sits at the heart of the Event Services Team, collaborating closely with student staff and various university departments to deliver high-quality events tailored to the unique needs of customers hosting activities at the Ohio Union. The coordinator acts as a primary contact for clients throughout the event lifecycle, including pre-event planning, on-site execution, and post-event follow-up, ensuring every detail aligns with expectations and university standards. A key responsibility is to coordinate catering, audio-visual, and production services, ensuring seamless integration of these components to support meetings, conferences, special events, and other gatherings.

The position demands strong organizational skills and the ability to multitask, as coordinators handle multiple events while maintaining clear communication with clients and internal teams. The role requires working flexibility since events often occur in the evenings or on weekends, demanding availability beyond the regular work schedule. Offering a salary range of $19.28 to $25.19 per hour, the Event Planning Coordinator position is a regular, full-time role (40 hours per week) that operates on varying shifts to address the scheduling needs of different events. Successful candidates will undergo a background check and potentially a drug screening or physical examination as part of the post-offer process. Job Requirements

  • bachelor's degree or equivalent combination of education experience
  • 2 years of relevant experience required
  • flexibility in schedule including evening and weekend work in conjunction with scheduled events
  • availability to work varying shifts
  • successful completion of background check
  • possible drug screen or physical during post offer process

Job Qualifications

  • bachelor's degree or equivalent combination of education experience
  • 2 years of relevant experience
  • 2-4 years of university event planning and or production experience preferred
  • experience using event management and room diagramming software preferred
  • high volume food and beverage or catering experience preferred
  • experience servicing and or selling to customers in a university setting preferred
  • strong communication and organizational skills
  • excellent rapport with customers
  • attention to detail and follow through skills
  • working knowledge of audiovisual equipment and professional printers

Job Duties

  • work with event services team and student staff to produce high-quality successful events
  • collaborate with catering audio visual and production teams
  • provide service for customers hosting events in and around the ohio union
  • work with customers to map out their event needs including catering av and production needs
  • plan food and beverage services catering and other specific needs for conference groups and meetings
  • consult with clients and vendors regarding detailed arrangements
  • plan catering for conferences meetings and special events
  • oversee and ensure smooth execution of assigned events
  • serve as contact for customer needs before during and after events
  • proactively work with event schedule and student staff to determine upcoming event needs
  • coordinate information about events with other university departments
  • work evenings and weekends as needed
