The role of Event Coordinator is pivotal in ensuring that every client event runs smoothly from initial conception through to completion. The coordinator is responsible for engaging with clients to discuss their specific event requirements, negotiate contracts and pricing, and accommodate guests through catering or party room reservations. Leading the event and catering staff during events is a key responsibility, alongside maintaining communication channels between guests, kitchen staff, and management. The position requires sharp organizational skills to manage event scheduling, anticipate and address potential conflicts — including coordinating with other downtown events such as activities at the Embassy, Grand Wayne Center, and The Clyde Theater — and keep private event spaces and catering services running efficiently.
Additional duties include administrative tasks such as creating and managing gift card submissions, interviewing potential greeters, and training staff on updated procedures. The coordinator must also be hands-on during events, stepping in as needed to assist staff and ensure client satisfaction. Managing catering menus, inventory control, and scheduling interviews for culinary and managerial staff round out this comprehensive role. Job Duties
- Talking to clients about their events and ensuring a happy outcome for the client
- Being able to accommodate guests on caterings and party room reservations
- Leading staff at events/caterings
- Communicate with guests, managers and kitchen staff ensuring every event’s success
- Negotiate with clients on pricing and contracts
- Keep up the productivity and organization of the private rooms and caterings
- Inform the staff of the next two weeks of events at each restaurant meeting
- Relay events in the downtown area that may affect business
- Responsible for creating, mailing, and documenting any gift card submissions
- Conduct the first interview of all potential applicants for greeter positions
- Train all greeters and ensure they are up to date on all new or improved procedures
- Work as a staff member on caterings if there is a shortage
- Be present on all large caterings to ensure the event's success
- Call and schedule interviews for chefs and managers
- Update catering menu as the menu changes
- Keep an inventory of catering products and ensure they are restocked
