The Event Coordinator position at California Baptist University plays a critical role in supporting the university’s mission by coordinating and managing a variety of signature events and academic programs. This role is essential for ensuring that events hosted across the CBU campus—from one-day meetings and conferences to multi-day camps—are executed efficiently and with the highest level of service. The successful candidate will be responsible for assisting with the scheduling, planning, and onsite execution of special events such as New Student Orientation, Homecoming, Commencement, Fortuna Bowl, and other admissions-related activities. The position requires close collaboration with multiple departments, including Food Services and Facilities Management, to meet event logistics and client needs.
The Event Coordinator will report to the Assistant Director of Conference and Events, working alongside the Office Manager and departmental staff to handle all aspects of event coordination and delivery. Strong communication skills are vital for this role, as is the ability to manage multiple projects simultaneously while providing exceptional customer service. This position also entails supervisory responsibilities, including recruiting, training, and managing student workers to support event operations.
In addition to event planning and coordination tasks, the Event Coordinator is expected to maintain regular office hours with flexibility for evening and weekend work to accommodate event schedules. The role demands a high level of organization, attention to detail, and the ability to make sound decisions in sensitive situations. Physical demands may include standing for extended periods and assisting with setup and breakdown of event spaces. - Six months to one year of related experience or training

Job Duties
- Assist in the coordination and execution of campus events including meetings and conferences
- Respond to departmental phone calls and emails with high-quality customer service
- Support event scheduling and requests using AdAstra Information Systems
- Plan and coordinate special events such as New Student Orientation, Homecoming, and Commencement
- Collaborate with Food Services and Facilities Management to meet event needs
- Communicate with event clients to coordinate logistics and details
- Assist with recruitment, training, supervision, and evaluation of student workers
- Conduct research to improve scheduling procedures and event services
- Update calendars and related documents with key dates and deadlines
- Coordinate with vendors including placing orders, managing logistics, and hosting vendors during events
