The Raleigh Convention and Performing Arts Center (RCPAC) is a distinguished public venue complex comprising four unique and vibrant venues: the Raleigh Convention Center, Martin Marietta Center for the Performing Arts, Red Hat Amphitheater (RHA), and Coastal Credit Union Music Park at Walnut Creek. The Red Hat Amphitheater, a major outdoor venue with a seating capacity of 6,000, is a cornerstone of this complex, hosting concerts and major productions that significantly contribute to Raleigh's national prominence. The Events Planner position at RHA offers a unique opportunity to be at the forefront of event coordination and production in a high-energy, dynamic environment. This role is integral to the success of events ranging from large-scale concerts to specialized productions, overseeing every aspect from logistical planning to onsite execution.
The Events Planner’s responsibilities extend beyond traditional event planning and include managing event preparation, overseeing budgets, staffing coordination, and ensuring smooth operations during events. This role demands exceptional organizational skills, meticulous attention to detail, and the ability to remain calm and adaptive under pressure. The candidate will engage directly with clients to understand their event needs, supervise event setup, and coordinate with various teams such as contracted labor, facilities operations, and security. The planner must ensure all activities comply with city and facility policies, maintaining a safe and enjoyable environment for attendees and staff alike.
The role is seasonal, with work schedules aligned to the concert calendar, necessitating availability during nights, weekends, holidays, and sometimes early mornings. During the off-season, the planner operates primarily within regular office hours but remains flexible to adjust as events dictate. Successful candidates for this role will bring proven experience in event management, strong communication capabilities, and a customer-focused mindset. The position also requires skills in managing conflict, meeting tight deadlines, and navigating complex, high-pressure situations gracefully.

Job Requirements
- associate's degree in technical theatre production, recreation, public administration, event management or related field
- 1 to 3 years experience in technical theatre production, recreation, event management or related field or any equivalent combination of training and/or experience
- ability to exert up to 50 pounds of force occasionally, up to 25 pounds frequently and/or up to 10 pounds constantly to move objects
- ability to work nights, weekends and holidays during concert season and flexible hours during off season
- ability to work in outdoor environments and occasionally in and around vehicles
- ability to handle exposure to hostile or irate individuals and extreme heat conditions
- excellent customer service skills

Job Duties
- Plan, coordinate and oversee event logistics
- contact, book and/or prepare scheduling of staff and event help, equipment and materials
- monitor and adjust event logistics schedules as required
- meet with clients to review and obtain event requirements including equipment, support staff, scheduling, production, security needs and utility requirements
- provide oversight of venue's event setup, staff and contracted labor, facilities operations and equipment setup and removal
- monitor event operations for compliance with policies, procedures and applicable regulations
- ensure facility operations and equipment usage adhere to city and facility policies and proactively address issues prior to event
- address complaints and resolve problems while maintaining customer service and professionalism
- assist with contract processes related to pricing, contract language and deadlines
- identify technical, budgetary and time-related challenges and propose solutions
- research and implement industry trends, solutions and best practices
