The role of Event Planner at MedForce is a full-time hybrid position based in Red Bank, United States, offering a competitive salary range from $45,000 to $112,600 annually, reflecting diverse experience levels and qualifications. The Event Planner’s core responsibilities encompass a broad spectrum of logistical duties starting from venue research and negotiations, through managing invitations and registration processes, to on-site support and post-event financial reconciliation. The role requires a detail-oriented professional with exceptional organizational skills, capable of handling multiple tasks efficiently while maintaining high standards of professionalism and customer service. Vendor management experience, including collaboration with hotels, destination management companies, and transportation services, is essential to ensure seamless event execution. Moreover, the ability to work collaboratively within a team, liaise with clients, and manage internal and external communications is imperative for success.
This role offers exposure to cutting-edge event management technologies, including proprietary registration platforms like CVENT, Adobe Sign, and virtual meeting platforms, enabling efficient and compliant event delivery in a dynamic healthcare environment. The Event Planner is also expected to travel approximately 25% of the time, sometimes including weekends, which reflects the on-site presence needed to assure event success. Additionally, the hybrid work arrangement requires presence at the Red Bank office two to three days per week, providing flexibility and balance. Candidates must reside within the United States to be eligible for this position.

Job Requirements
- High school diploma or equivalent
- Experience in event planning or coordination
- Strong organizational and communication skills
- Ability to manage multiple tasks efficiently
- Experience working with vendors and third party service providers
- Familiarity with registration and event management software

Job Qualifications
- High school diploma or equivalent combination of education and/or work experience required
- Well-developed skills in prioritizing, organizing, decision making, time management, and verbal/written communication
- On-site event coordination and vendor management experience, including third party vendors
- Experience working with hotels, DMCs, and transportation companies
- Proficient in Microsoft Office Suite including Excel, Word, PowerPoint, Outlook
- Experience with industry-specific software such as Adobe Sign, CVENT, and virtual meeting platforms
- Willingness to work within an environment that includes biohazard materials and complete the required training
- Ability to work in a hybrid role with onsite presence at the Red Bank office 2-3 days per week
- Ability to travel up to 25% of the time including occasional weekends
Job Duties
- Support the meeting managers in execution of full-service pharmaceutical medical education programs and conference-related events from inception to completion through reconciliation while ensuring logistical compliance
- Support the planning of different types of pharmaceutical medical educational programs including large scale programs such as speaker trainings, product theatres, symposiums, customer receptions/dinners
- Support the planning of small to mid-size programs such as advisory boards, KOL/HCP engagements, local trainings
- Assist with 1:1 consulting meetings and HCP meals at large medical conventions
- Work with meeting managers on brand management to coordinate delivery of branded materials and signage
- Source venues including research and negotiate hotel venues, meeting space and guest rooms, restaurant venues
- Collaborate with IT/web developers to customize registration websites and electronic communications
- Draft and send approved save the date/invites and confirmations in collaboration with internal and external stakeholders
- Manage registration via event registration platforms such as CVENT or proprietary platforms
- Assist in arranging travel for HCPs including air, ground transportation and hotel rooms
- Merge, print and deliver on-site materials including welcome packs, name badges, tent cards, miscellaneous handouts, agendas
- Select menus and ensure all meals are within client compliance policies
- Adhere to program budget guidelines
- Manage and coordinate distribution of meetings and events team shared meeting material resources
- Travel to meeting locations and assist team with meeting setup, attendee registration/check-in
- Support meeting manager with financial reconciliation of the program to ensure it meets client compliance policies
- Verify final attendee list and cross reference for accuracy
- Process attendee honoraria payment and out of pocket expenses
- Review MedForce onsite team expenses
