Job Description

The Austin Hatcher Foundation for Pediatric Cancer is a dedicated nonprofit organization committed to providing a lifetime of free, comprehensive support to pediatric cancer patients and their families. Established with a compassionate mission, the Foundation seeks to help families cope with the challenges of pediatric cancer through a wide range of mental, behavioral, educational, and social services. These services are accessible via the Education Advancement Center located in Chattanooga, Tennessee, as well as through virtual platforms, ensuring families receive vital support regardless of their geographic location. The Austin Hatcher Foundation is currently seeking a highly skilled and motivated Event Coordinator to join its Development Team. This full-time, exempt position offers a hybrid work environment and reports directly to the Director of Development. Based in Chattanooga, TN, the Event Coordinator will be instrumental in advancing the Foundation's mission by managing and executing a variety of events that enhance community engagement and drive fundraising efforts. This role demands exceptional organizational, communication, and writing skills, coupled with the ability to build and nurture positive relationships with individuals, businesses, and community organizations.

The Event Coordinator will serve as an ambassador for the Foundation, representing the organization at community functions, media appearances, and partner events to raise awareness and support for pediatric cancer patients and their families. Responsibilities include planning, coordinating, and executing both large-scale signature fundraising events and smaller community activities aimed at meeting and exceeding revenue goals, excluding specific Motorsports events or the Hit It for Hatch program. The role requires managing all aspects of event production—from logistics, venue and vendor management to volunteer coordination and post-event reporting.

Further, the coordinator will manage in-kind food and drink donations that support both events and family programming. The position plays a vital role in fostering community relations by building and maintaining partnerships with local businesses, civic groups, and corporate partners. Collaboration with various internal teams such as Volunteer Services, Marketing, and Programs is essential to ensure cohesive event messaging and branding, as well as donor engagement.

Additionally, the Event Coordinator is responsible for budget development and management, tracking event expenses, revenues, and returns on investment. Proficiency with the CRM fundraising platform Bloomerang is required, facilitating data accuracy and timely donor and participant information management. Strategic growth initiatives are also central to the role, with the coordinator identifying innovative event concepts, partnership opportunities, and outreach strategies to broaden the Foundation’s community reach and enhance donor participation.

Ideal candidates will possess a Bachelor’s degree, strong interpersonal and multitasking skills, and a passionate commitment to the Foundation's mission. Physical requirements include the ability to walk, bend, lift up to 25 pounds, and flexibility to work weekends or evenings as needed. Valid driver’s license and capability for regional travel are necessary. Candidates undergo thorough credit and criminal background checks.

Job Duties

  • Serve as a visible and enthusiastic ambassador for the Austin Hatcher Foundation for Pediatric Cancer, actively promoting its mission, programs, and impact
  • Advocate for families navigating the effects of pediatric cancer through compassionate community engagement
  • Collaborate across departments to ensure all events and initiatives align with organizational values and strategic goals
  • Perform other duties as assigned in support of the Foundation’s mission
  • Plan, coordinate, and execute all Foundation fundraising events to achieve and exceed annual revenue goals
  • Lead all aspects of event production including logistics, registration, venue and vendor management, sponsorship fulfillment, volunteer coordination, on-site execution, and post-event reporting
  • Manage in-kind food and drink donations for events and family programming
  • Conduct post-event evaluations, generate comprehensive reports, and ensure timely stewardship of sponsors, donors, and participants
  • Build and maintain strong, positive relationships with local businesses, civic groups, corporate partners, and community organizations
  • Serve as the primary point of contact for community partnerships, neighborhood relations, and event collaborations
  • Represent the Foundation at community functions, media appearances, and partner events to increase visibility and engagement
  • Collaborate with the Volunteer Services Coordinator to recruit, train, and manage volunteers for all events
  • Provide clear direction and communication to volunteer committees and event staff to ensure successful execution
  • Facilitate cross-departmental collaboration to align messaging, branding, and donor engagement
  • Develop and manage detailed budgets for each event
  • track and report event expenses, revenue, and ROI
  • Maintain data accuracy within the CRM Bloomerang and manage event forms and troubleshooting
  • Prepare regular progress reports including KPI updates and revenue forecasts
  • Identify new event concepts, partnership opportunities, and creative engagement ideas
  • Evaluate event performance metrics to recommend continuous improvement
  • Support Development Team in expanding donor base through meaningful events
